Administrative Assistant with Bookkeeping Background

Position Overview
We are seeking a dedicated and detail-oriented Administrative Assistant with a bookkeeping background and excellent communication skills in both English and Spanish. This role is ideal for someone who is eager to learn, thrives in a structured and supportive environment, and enjoys helping clients and team members succeed.
Key Responsibilities
- Welcome and assist clients in person, by phone, and via email in both English and Spanish
- Support bookkeeping tasks, including data entry, bank reconciliations, and organizing financial records in QuickBooks
- Maintain accurate and confidential client files (digital and paper)
- Scan, organize, and upload documents through Dropbox and Asana
- Prepare invoices, receipts, and simple reports for review
- Manage appointments, calls, and follow-ups with professionalism
- Assist during tax season with client coordination and document tracking
- Collaborate with team members to ensure deadlines and quality standards are met
Qualifications
- 1–2 years of bookkeeping or administrative experience (preferably in an accounting or business office)
- Fluent in English and Spanish (spoken and written) — required
- Proficient with QuickBooks, Microsoft Office, and Google Workspace
- Excellent attention to detail, organization, and follow-through
- Strong communication skills and a professional, client-centered attitude
- Eager to learn and grow under mentorship and training
