Events and Facilities Coordinator

As an Events and Facilities Coordinator, you will play a pivotal role in creating a positive and efficient work environment for our employees. You will be supporting and coordinating various aspects, such as events, catering, food program, etc., This role involves collaboration with multiple teams to enhance the overall workplace experience. In addition, you will support the Facility Manager/Assistant Facility Manager with daily operations as needed.
Responsibilities:
Employee Engagement:
- Support and coordinate employee events, activities, and programs to foster a sense of community and teamwork.
Workspace Design and Maintenance:
- Collaborate with facilities management to ensure the physical workspace is well-maintained, aesthetically pleasing, and aligned with the company's brand and values.
- Set up event spaces according to customer requirements, including arranging chairs, tables, power strips and equipment, and resetting space afterwards.
- Recommend and implement improvements to enhance the functionality and comfort of the workspace.
Communication and Feedback:
- Act as a liaison between employees and management, gathering feedback on workplace experience and implementing improvements accordingly.
- Maintain clear communication channels to update requesters on the status of their work orders in a timely and professional manner.
- Maintain all work orders, including progress, completion status, and any issues encountered.
Vendor Management:
- Manage relationships with external vendors, including catering services, office supplies, and other service providers, to ensure quality and cost-effectiveness.
Facilities Support
- Assist Facility Manager/Assistant Facility Manager with work order tracking.
- Assist with lab environment monitoring.
- Assist escorting vendors.
Qualifications:
- Proven experience in workplace management, employee engagement, or related roles.
- Strong customer service skills, ensuring a high level of client satisfaction.
- Strong interpersonal and communication skills.
- Excellent written and verbal communication skills.
- Ability to work independently with minimal supervision and as part of a collaborative team.
- Proficiency in Microsoft Office and calendar management tools.
- Detail-oriented with excellent organizational and multitasking abilities.
- Ability to work collaboratively in a dynamic and fast-paced environment.
- Be able to lift 50lbs
