The Dayton Metro Library is recruiting a full-time Events Operations Assistant to support the many varied events that DML hosts throughout the year for the public, but also for private rentals. While this position is primarily based at the Main Library in downtown Dayton, they may need to assist with events at the branches as well. The successful candidate will be expected to interact with clients utilizing the rental spaces in a professional, customer-focused manner. They are responsible for setting up rooms according to clients' specifications, which does involve lifting items that weigh up to 50 pounds. Essential Job Duties
Under the direction of the Events Manager, represents the Library on matters relating to special events and revenue-generating opportunities.
Under the direction of the Events Manager, books events, completes, coordinates, and arranges event details with internal and external partners in regards to facility set-up and tear-down, technical requirements, security, catering, entertainment, décor, parking, and other event needs.
Assists in the oversight of the facility and security during assigned event functions. Greets and remains available to clients and staff during event.
Responds to inquiries and provides assistance and information regarding Library rental space use and capabilities.
Assists Events Manager by setting up appointments for tours and meetings. In the Manager's absence, provides tours of Library facilities to potential clients and vendors.
Provides clerical assistance including, but not limited to, answering phones, responding to email, and preparing letters and routine correspondence.
Uses client feedback to document successes and challenges. Makes recommendations to improve processes and practices.
Maintains confidential department financial records and payment schedules. Creates invoices and prepares monthly reports for bookings, deposits, and payments.
Assists in planning and implementing special events in support of External Relations and other Library-sponsored activities. May serve on internal Library committees.
Required to work irregular hours as dictated by the schedule of events.
Job Qualifications
Bachelor's degree from four-year college preferred; or one to two years related experience and/or training.
Knowledge of hospitality operations, sales and client services.
Ability to maintain effective relationships with vendors, clients, organizations, the public and the staff.
Reliable transportation to and from other DML branches during the work day is required.
Ability to effectively present information and respond to questions from staff, patrons, and members of the community individually and in a group setting.
Ability to deal effectively with confrontational individuals and/or challenging situations.
Physical Requirements: Ability to frequently carry, climb, grasp, hold, reach, stand, stoop, turn, walk, arrange tables, chairs, equipment and materials for events and lift items weighing up to 50 pounds. Specific vision abilities required for this job include close and distance vision. Ability to speak and hear required.
Compensation and Benefits: Starting hourly rate for this position is $19.35. Benefits include health, dental and vision insurance along with paid time off and OPERS retirement.
