Benefits Operations Specialist

Hybrid in Waltham, MA

Responsibilities:
- Maintain accurate employee records, including contracts, promotions, transfers, and terminations, ensuring compliance with privacy regulations.
- Manage HR processes, including onboarding, offboarding, internal transfers, benefits administration, payroll support, and employee inquiries.
- Coordinate logistics for HR programs and wellness initiatives, such as seminars, benefits fairs, health clinics, and screenings, and manage related purchase orders, contracts, and statements of work.
- Support compliance reporting for federal and state requirements (e.g., Veterans, 4212, EEO, Affirmative Action, ACA) and participate in HR audits.
- Assist in developing and maintaining HR policies and procedures and educate employees on their application.
- Utilize HRIS to input, retrieve, and analyze HR data; assist with system upgrades, testing, and troubleshooting.
- Maintain organized HR documentation and filing systems.
- Identify and implement process improvements within HR operations.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or related field (preferred).
- 8+ years of experience in HR operations or a related HR role, including experience with benefits administration and wellness programs.
- Proficiency in HRIS software (Oracle HCM preferred) and Microsoft Excel.
- Knowledge of HR laws, regulations, and best practices.
- Strong organizational, detail-oriented, and problem-solving skills.
- Excellent communication and interpersonal skills; able to handle confidential information with discretion.
- Experience working cross-functionally with multiple departments.
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
- HR certification (PHR, SHRM-CP) is a plus.
