Executive Assistant, Programs & Operations
Time:
This is a part-time, hourly role averaging 20 hours per week, with flexibility built in. Some weeks may be a little lighter or heavier depending on programs, events, and deadlines. We track hours to support thoughtful planning, clear priorities, and a sustainable workload.
Location:
Remote with some local work in Denver (shipping materials, organizing supplies, Train-the-Trainer support, team meetings)
Pay:
$35 - $40/hour depending on experience and demonstrated strengths

About You:
You're sharp, self-directed, emotionally intelligent, and service-minded. You can move between higher-level thinking and hands-on tasks with ease—supporting client onboarding one day, organizing our supply closet the next. You love helping visionaries stay focused by anticipating needs and creating calm out of chaos.
You're not just waiting for directions. You see what needs doing, solve problems creatively, and bring a sense of purpose to both big and small tasks.
Key Responsibilities:
- Manage calendars, schedule meetings, and coordinate workshops and speaking engagements
- Help maintain internal task lists and weekly priorities so nothing falls through the cracks
- Monitor inbox, draft replies, and follow up on key relationships
- Prepare and ship materials for events and trainings
- Coordinate logistics for conferences, retreats, and team travel
- Format and edit materials using our brand guidelines (Canva, Google Workspace)
- Help keep systems, files, and the supply closet beautifully organized
- Create and send client and facilitator contracts
- Manage and support the use of Survey Monkey and other data collection tools
- Support client onboarding tasks including eLearning set-up and trouble shooting
- Support implementation of our Train-the-Trainer program (tracking progress, preparing materials, managing follow-up)
- Support (with guidance) the set up and maintenance of our new CRM and project management system )

- A trusted right-hand role focused on follow-through, organization and operational support
- A mix of digital work and occasional hands-on logistics
What this Role Isn't
- A marketing or social media role
- A senior operations or strategy lead (though ideas and improvements are welcome)

- Background in education, SEL, nonprofits, or professional development
- Light design skills or eye for visual formatting
- Experience supporting founders or leadership teams
