POSITION SUMMARY
The IT Portfolio Coordinator will oversee the coordination of the Information Technology (IT) intake process and facilitate IT Governance Committee activities. The IT Portfolio Contractor is critical to ensure that IT initiatives are effectively evaluated, prioritized, and managed through established internal processes. In addition, the IT Portfolio Coordinator will be responsible for IT Capital administration functions and operations support. The IT Portfolio Contractor works closely with internal teams and business stakeholders, and will help maintain portfolio visibility, ensure seamless governance, and provide essential administrative support for IT planning and governance processes.
Primary Accountabilites
- Assists in managing the IT intake process for new project requests, ensuring proper documentation.
- Manages the flow of incoming projects and continually tracks their status through the intake process, ensuring timely reviews and decision-making.
- Maintains and updates intake tracking systems, ensuring a seamless process for submission, evaluation, and decision-making.
- Coordinates and supports IT Governance Committee meetings, including scheduling, agenda preparation, and follow-up on action items, and with IT and business stakeholders to ensure adherence to governance processes and timelines.
- Ensures that governance decisions and actions are documented and communicated to the appropriate stakeholders for follow-up and action.
- Collaborates with council leads to ensure that topics requiring review are thoroughly vetted.
- Assists in maintenance of governance frameworks, guidelines, and templates to standardize processes and improve efficiency.
- Fosters communication between IT teams and governance bodies to ensure alignment and transparency.
- Supports the administration of IT capital project tracking, budgeting, and reporting processes, while coordinating IT capital planning and prioritization.
- Assists in preparing financial performance of IT capital projects and report on variances or issues to leadership and governance bodies.
- Maintains accurate and up-to-date records of all IT projects within the portfolio, ensuring visibility.
Work Experience
MINIMUM QUALIFICATIONS
- Education: Bachelor's degree in relevant field.
- Work Experience: Two (2) years' experience in Information Technology, Business Analysis in Healthcare or related field.
- Licensure: None
- Certification: None
- Work Experience In Lieu of Education:
- Associate's degree and an additional two (2) years' experience in Information Technology, Business Analysis in Healthcare or related field.
- High School Diploma and an additional four (4) years' experience in Information Technology, Business Analysis in Healthcare or related field.
- Skills/Knowledge/Abilities:
- Proficiency in Microsoft Office – Outlook, Word, Excel, PowerPoint, etc.
- Demonstrates well prepared, stakeholder-focused, verbal, and written communication, while aligning expectations of projects.
- Able to communicate effectively at a high level with senior leaders, and other appropriate stakeholders.
- Ability to prioritize tasks, perform them efficiently, and manage time effectively.
- Demonstrates efficient multi-tasking, time management, and organizational skills while handling multiple projects.
Preferred Qualifications
- Skills/Knowledge/Abilities:
- Advanced knowledge and understanding of Excel Spreadsheets.
- Knowledge and exposure to project management practices.
Physical Requirements
- Majority of time involves sitting or standing; occasional walking, bending, and stooping.
- Long periods of computer time or at workstation.
- Light work that may include lifting or moving objects up to 20 pounds with or without assistance.
- May be exposed to inside environments with varied temperatures, air quality, lighting and/or low to moderate noise.
- Communicating with others to exchange information.
- Visual acuity and hand-eye coordination to perform tasks.
- Workspace may vary from+ open to confined.
- May require travel to various facilities within and beyond county perimeter; may require use of personal vehicle.
