Job Summary
We are seeking a detail-oriented and organized Office Assistant to support our administrative team. The ideal candidate will possess strong computer skills, excellent customer service abilities, and experience with office management tasks. This role involves handling front desk responsibilities, managing multi-line phone systems, and providing clerical support to ensure smooth daily operations. Bilingual skills are a plus, as well as familiarity with Microsoft Office, Google Workspace, and QuickBooks. The Office Assistant will play a vital role in maintaining an efficient office environment and supporting various administrative functions.
Responsibilities
- Greet visitors and manage front desk operations with professionalism and courtesy
- Answer and direct calls using multi-line phone systems, demonstrating excellent phone etiquette
- Perform data entry, filing, and proofreading to ensure accuracy of documents and records
- Manage calendar appointments and schedule meetings using Microsoft Office and Google Workspace tools
- Assist with bookkeeping tasks using QuickBooks and handle basic office management duties
- Support customer service efforts by responding to inquiries promptly and professionally
- Handle administrative tasks such as typing correspondence, managing emails, and supporting document preparation
- Maintain organized filing systems both digitally and physically
- Provide general clerical support including copying, scanning, and organizing office supplies
- Support personal assistant duties as needed, including calendar management and task prioritization
Requirements
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Experience with QuickBooks is preferred; familiarity with bookkeeping is a plus
- Excellent organizational skills with the ability to manage multiple tasks efficiently
- Strong communication skills, both verbal and written; bilingual abilities are advantageous
- Previous experience in customer service or front desk roles preferred
- Ability to handle multi-line phone systems professionally and courteously
- Attention to detail in proofreading, data entry, and document management
- Demonstrated time management skills to prioritize tasks effectively
- Prior office management or medical/dental receptionist experience is desirable but not required
Job Type: Contract
Pay: $ $26.31 per hour
Expected hours: 40 per week
