About the Role

We are seeking a meticulous and organized Data Management Assistant to join our team at Hourglass International, Inc. This role is pivotal in ensuring the accurate and timely processing of customer sales orders for our premium PPE products while providing outstanding support to our sales team and valued customers in healthcare, cleanroom, and industrial sectors. The ideal candidate will excel in a fast-paced environment, demonstrate strong data entry skills, and uphold our commitment to exceptional customer service and operational excellence.

Key Responsibilities

  • Order Processing: Perform same-day data entry of customer purchase orders into our ERP system, received via email, fax, EDI, or other methods, ensuring accuracy and compliance with customer-specific product requirements.
  • Order Confirmation: Provide prompt, same-day order confirmations to customers and resolve any discrepancies related to product availability, lead times, or specifications.
  • Customer Support: Respond to order status inquiries, address customer questions about product features or compliance standards (e.g., ASTM, ISO) and resolve order-related issues efficiently to ensure seamless delivery.
  • Data Accuracy: Maintain precision in entering all pertinent fields of customer purchase orders, adhering to unique requirements such as lot traceability, cleanroom certifications, or sustainability protocols.
  • Process Improvement: Contribute to streamlining order entry processes, focusing on creating consistency and efficiency across customer interactions to enhance operational workflows.
  • Additional Duties: Support the sales team and overall business operations with tasks such as data reporting, inventory coordination, or assist with the processing of sample requests as needed.
