General Summary:
We are seeking a highly organized and detail-oriented individual to join our team as an Office Manager/Executive Assistant. The successful candidate will be responsible for providing administrative support in various areas including client meeting set-up, office management, and team support.
Responsibilities:
· Answering telephone calls and directing them appropriately
· Preparing conference rooms and greeting clients with professionalism
· Maintaining office and kitchen supplies inventory
· Handling filing, copying, and other administrative tasks
· Performing daily mail runs and office errands
· Assisting with event planning and coordination
· Managing client information in a confidential database
· Providing administrative support for client meetings
· Keeping inventory stocked and up to date
· Assisting with office tasks such as preparing coffee and bringing in newspapers
· Assisting HR with new hires onboarding
Technical Core Competencies:
· High level of accuracy and attention to detail
· Superior written communication skills
· Proficiency in various computer applications including word-processing and spreadsheets
· Knowledge of business phone systems and office equipment
· Ability to follow up on routine and assigned tasks promptly
· Initiative, tact, and discretion in performing duties
· Ability to work independently or as part of a team
· Punctuality and reliability are essential
· Demonstrated ability to maintain confidentiality
· Excellent verbal communication skills
· Effective time management and multitasking abilities
Qualifications:
· Proficiency in Technical and Professional Core Competencies
· Previous experience in an administrative role preferred
· Bachelor's degree or equivalent experience
· Strong problem-solving and decision-making skills
Work Environment:
This position is primarily located in an office environment with moderate noise levels. Occasional overtime may be required, but travel is rarely necessary.
Physical Demands:
The role involves mostly sedentary work with occasional lifting and bending required. The ability to visually interpret written text, use a computer, and communicate effectively is essential.
