Department Administrative Assistant

A temporary administrative assistant is needed to cover for a 6 plus month leave of absence in Costa Mesa. This is an in-office role. Not a remote role.
This person will prepare public Board Meeting packets in accordance with the Brown Act and provide advanced administrative support to the Chief Administrative Officer. This is an on-site, full-time assignment for an estimated duration of 6 months. The position will be expected to work 40 hours/week from 8:00 a.m. - 5:00 p.m., Monday through Friday. Ideal candidates will have:
- Experience working in the government sector, specifically with public board meetings
- Strong writing and editing skills
- Advanced ability using Microsoft PowerPoint and Word
- Advanced experience with Adobe Acrobat
- Excellent customer service skills
- Strong communication skills
- Thrives working on a team
- Experience applying The Brown Act a plus, but not required
Example of duties:
- Prepares Board and/or Committee meeting packets by reviewing all contents of packets to ensure information is complete and accurate
- Coordinates the distribution of Board and/or Committee packets
- Prepares Board meeting notices
- Oversees and updates the Board of Directors and District's website to ensure information is current
- Prepares and processes the Board of Director's payroll, communication, and mileage reimbursement
- Oversees and updates the Board of Directors and District Transparency sections of the District's website to ensure information is up-to-date
Minimum qualifications:
Education: Equivalent to the completion of the twelfth grade supplemented by vocational/technical training in office practices. Experience: 5 years of increasingly responsible clerical, secretarial, and routine administrative support experience.
