Administrative Assistant

We are looking for a detail-oriented Administrative Assistant to join our client's team in Grand Rapids, Michigan. This contract to permanent position offers an exciting opportunity to contribute to the seamless operation of our administrative processes while engaging with various office functions. The ideal candidate will be organized, proactive, and capable of managing multiple responsibilities with efficiency and professionalism.

Responsibilities:

  • Maintain and update data within Excel and SmartSheets, ensuring accuracy and timeliness.
  • Input financial records into QuickBooks, generate reports, and integrate information into spreadsheets.
  • Provide support for accounting tasks and assist with maintaining organized records.
  • Utilize scheduling and customer management tools to coordinate activities effectively.
  • Act as a backup to the service dispatcher when required, ensuring uninterrupted workflow.
  • Collaborate closely with office staff to promote efficient operations and resolve issues.
  • Execute a variety of general administrative tasks to support overall company productivity.
  • Assist with scheduling and customer interaction to ensure smooth communication and service delivery.

Requirements:

  • Minimum of 2 years' experience in administrative or office coordination roles.
  • Proficiency in Excel, data entry, and spreadsheet management.
  • Familiarity with QuickBooks and scheduling tools.
  • Exceptional organizational skills with the ability to balance multiple tasks effectively.
  • Detail-oriented mindset with a commitment to accuracy in work.
  • Strong interpersonal skills, able to communicate professionally with colleagues and stakeholders.
  • Eagerness to learn and adapt to new processes and tools.
  • Ambitious with a desire to grow and develop within the role.
