Part time Hours - Monday through Thursday 9 am to 3 pm
Position Overview: We are seeking a dedicated and organized Administrative Assistant to join our team at Saint Marianne Cope Parish. As an Administrative Assistant, you will report directly to the Pastor and will play a crucial role in providing administrative support, maintaining records, and assisting with daily operations to ensure the smooth functioning of the office. You will represent the Parish to the public in a manner that reflects favorably on the Catholic church.
Responsibilities:
• General Office Support: Greet families, answer phones, and maintain a welcoming and professional office environment.
• Provide Support to the Pastor: Assist the Pastor with preparation of correspondence and other tasks as needed.
• Record Keeping: Maintain accurate and organized records of Parish-related documents. Update and input data into software programs as needed. This includes maintaining all Parish records for Masses and Sacraments in a timely fashion, according to Archdiocesan Policy.
• Weekly Bulletin: Assist with creating, copying and distributing the Parish Bulletin and other materials as needed.
• Documentation: Prepare documentation necessary for Parish operation. Ensure all paperwork is completed accurately and on time.
• Coordinate with families and Funeral Home staff: Assist families with funeral scheduling and planning. Assist with the Parish Cemetery as needed.
• Financial Support: Assist in the financial process as needed.
• Confidentiality: Handle sensitive information with discretion and maintain confidentiality.
• Collaboration: Work closely with the Pastor and other Parish staff and Volunteers to ensure seamless communication and operations. Must also be able to work independently.
Requirements
Qualifications:
• High school diploma or equivalent; additional administrative training a plus.
• Fluent in English communication both written and verbal.
• Proven experience as an administrative assistant or in a similar role.
• Strong organizational skills with exceptional attention to detail.
• Proficient in MS Office Suite (Outlook, Word, Excel, Publisher).
• Ability to interact with families professionally and empathetically.
