AP Specialist

A large, fast-paced finance department is seeking an experienced and detail-oriented Accounts Payable (AP) Specialist to join their team. This role involves full ownership of the AP process, including invoice processing, vendor communication, managing credit card documentation, and ensuring accurate entry and reconciliation in QuickBooks. The ideal candidate will be proactive in identifying and resolving discrepancies, comfortable managing a high volume of transactions, and capable of maintaining 100% accuracy in financial records.
Responsibilities Include:
- Invoice Processing & Vendor Communication:
- Process invoices and payments accurately and in a timely manner.
- Communicate with vendors regarding any discrepancies or issues with payments.
- Credit Card Documentation & Reconciliation:
- Manage credit card documentation and ensure all charges are recorded correctly.
- Reconcile credit card statements with financial records and resolve any discrepancies.
- Accounts Payable Workflow:
- Maintain organized records for all accounts payable transactions.
- Ensure all payments are processed in accordance with company policies.
- Discrepancy Resolution:
- Identify and proactively resolve discrepancies in accounts payable records.
- Work closely with internal teams to ensure accuracy and timely payment processing.
- QuickBooks Data Entry & Reconciliation:
- Accurately enter AP data into QuickBooks and ensure proper reconciliation of accounts.
- Proven experience in accounts payable, with strong understanding of AP processes and procedures.
- Proficiency in QuickBooks and other financial software.
- Strong attention to detail with the ability to maintain 100% accuracy.
- Excellent communication skills and the ability to work with vendors and internal teams.
- Ability to manage a high volume of transactions and meet deadlines.
- Strong organizational skills and the ability to handle multiple tasks simultaneously.
