Job Title: Front Desk Administrative Assistant
Location: San Jose, CA
Job Description:
As a Front Desk Administrative Assistant, you will be the first point of contact for visitors and play a pivotal role in delivering exceptional customer service. You will interact with a diverse group including customers, contractors, new hires, visiting employees, and job applicants. This position operates in a fast-paced environment and represents the face of the company.
Essential Functions:

Greet clients and visitors with a positive, helpful attitude

Notify appropriate company personnel of visitor arrival
-
Manage daily food deliveries; escort delivery personnel to drop-off locations
-
Ensure workplace security by issuing, checking, and collecting badges and maintaining visitor logs

Support various administrative tasks: copying, note taking, filing, and documentation
-
Keep the reception area safe and clean by complying with company procedures, rules, and regulations
-
Answer phones professionally and route calls as necessary

Assist colleagues from multiple departments with administrative tasks

Provide excellent customer service to all stakeholders

Schedule and follow up with vendor appointments

Maintain paper and electronic documents
-
Perform any other assigned duties
Requirements:
-
2-3 years customer service/front desk experience
-
High school diploma or equivalent
-
Proficiency in Microsoft Word and Microsoft Teams
-
SAP experience preferred
-
Detail-oriented with excellent communication skills
-
Ability to meet deadlines and work professionally at all times
