Job Summary:

We are seeking a proactive and detail-oriented Contract Conformance Specialist (CCS) to join our team. In this role, you will be responsible for overseeing and ensuring the conformance of all executed contractual arrangements within assigned capital and maintenance projects. The CCS will manage the flow of documentation and communication between the company and contractors to ensure that all contractual obligations are met. Additionally, this role will involve resolving any contractual issues, coordinating with various departments, and maintaining compliance throughout the project lifecycle.

Key Responsibilities:
  • Contract Compliance: Ensure the company and contractors adhere to all contractual obligations by facilitating documentation flow and communication.
  • Contract Drafting: Assist in the preparation of technical contract documents, including scope, pricing, specifications, and special instructions for each assigned project.
  • Contract Negotiation Support: Aid project management teams during the contract bidding and formation phases, ensuring project-specific requirements are addressed.
  • Documentation & Review: Review contractor-submitted documents for compliance with contract terms, identifying and notifying contractors of any deviations from the contract baselines.
  • Change Order Management: Manage the change order process, including the creation and tracking of change orders, reviewing contractor-requested changes, and preparing approved change orders.
  • Document Control: Establish and maintain a project-specific contract document control and retention system in compliance with company standards and regulatory requirements.
  • Invoice Review & Approval: Review contractor invoices for compliance with contract terms and ensure proper distribution for payment approval.
  • Communication: Maintain continuous communication with contractors, project teams, and other internal stakeholders regarding contract conformance and issues.
  • Training & Education: Assist with training staff and third-party personnel on contract conformance policies and procedures.
  • Contract Close-out: Ensure all contractual obligations are satisfied and manage the contract close-out process, ensuring compliance and submitting files for retention according to company guidelines.
  • Audit Support: Assist with internal and external audits by preparing required documentation and providing support during compliance audits.

  • Relationship Building: Excellent interpersonal skills, capable of developing and maintaining collaborative relationships across departments.
  • Problem-Solving: Strong analytical skills with the ability to proactively identify and address issues before they escalate.
  • Negotiation: Experience in supporting complex contract negotiations and managing challenging contract situations.
  • Organizational Skills: Excellent organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Technical Writing: Proficiency in drafting detailed technical documents, contracts, and reports.
  • Team Player: Ability to work effectively in a team environment, coordinating with multiple stakeholders.
Qualifications:
  • Education:
    • Bachelor's degree in Engineering, Construction, Legal, Technical, or Business disciplines, with a minimum of 4 years of experience in contract administration, construction, or legal-related fields.
    • OR
    • Associate's degree with 7-10 years of experience in contract administration, construction, engineering, or legal-related fields.
  • Industry Knowledge:
    • In-depth understanding of the contracting process and experience with construction projects, preferably in the energy sector (gas pipelines, infrastructure, etc.).
  • Proficiency with Technology:
    • Experience working with Microsoft Office Suite and contract management software/tools.
