We’ve built our reputation on responsiveness, integrity, and quality. We’re growing and adding an experienced Project Administrator to join our operations team in Kirkland. This role is the heart of the project, keeping communication, documentation, and billing on track from intake to completion. The Opportunity As Project Administrator, you’ll own the administrative side of each project lifecycle ensuring accuracy, accountability, and timely execution across every phase. You’ll coordinate between estimators, project managers, clients, and accounting to keep each job organized and profitable. This is an office-based role, ideal for someone who’s at home in the details, thrives under deadlines, and loves seeing a project move cleanly from start to finish. What You’ll Do • Create and maintain job files from intake to closeout in DASH and QuickBooks • Schedule site visits for project managers and estimators • Communicate with property managers, homeowners, and internal team members to track project progress • Manage project documentation, including contracts, change orders, and client correspondence • Job cost, invoice, and manage accounts receivable for assigned projects • Ensure compliance with company processes, billing accuracy, and timely follow-up on outstanding items • Support accurate data flow between field and office to keep leadership informed What You Bring • 3+ years of experience in construction administration, project coordination, or bookkeeping • Strong proficiency in Microsoft Office and project management/accounting software (experience with DASH or QuickBooks a plus) • Impeccable attention to detail and comfort managing multiple priorities under tight deadlines • Excellent written and verbal communication skills • A “refuse to lose” mindset: driven, reliable, and accountable • Collaborative, team-first attitude and willingness to learn and grow Why Maintco • Stable, year-round workload with a clear, proven process • Supportive leadership and a voice in shaping how projects are run • Competitive pay, full benefits, and PTO • Growth potential into Project Coordinator or Project Manager roles • A culture built on accountability, trust, and results • You’ll be part of a team where your work is seen, valued, impactful If you love organizing chaos into clarity, and want to be part of a locally-owned company where your role truly matters, we want to hear from you.
