The Hybrid Accounting Clerk is a key member of our corporate team, responsible for supporting the Finance department remotely. This role involves maintaining accurate financial records, reconciling accounts, and ensuring contractual compliance. You'll work closely with various teams to assist in contract negotiations, invoice processing, and ensuring legal requirements are met. This position is essential in optimizing financial processes and supporting the organization's growth through efficient oversight of accounting and contract management tasks.

Work Schedule:
Full-time, Monday - Friday, 8:00 AM - 5:00 PM EST

Accounting Responsibilities

  • Process incoming payments in compliance with financial policies and procedure
  • Perform day to day financial transactions, including verifying, classifying, computing, posting, and recording accounts receivables data.
  • Reconcile associate timecard entries and approvals.
  • Prepare weekly/bi-weekly/monthly invoices for each associate/contract for hours worked.
  • Prepare miscellaneous invoices for background checks and bonuses.
  • Maintain accurate records in various reconciliation files.
  • Upload invoice data to client portals
  • Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
  • Verify discrepancies and resolve clients' billing issues.
  • Track client payment portal status and resolve portal tasks.
  • Facilitate payment of invoices due by sending bill reminders and contacting clients
  • Generate financial statements and reports detailing accounts receivable status.
  • Generate and submit monthly MBE Reports
  • Prepare and enter monthly Worker's comp self-reporting figures to insurance portal.
  • Prepare weekly funding for payroll requirements.
  • Receive and enter all accounts payable invoices.
  • All other duties as assigned.

Payroll Responsibilities

  • Verify timecards for completeness and approval status.
  • Follow up with AM/HR for approvals and hours not entered.
  • Lock associate timecards once verified.
  • Keep accurate tracking of payroll edits needed (bonuses, added hours, etc.)
  • Process corporate and associate bi-weekly payrolls
  • Use Cash Requirements to determine funding needed weekly.
  • Track state withholding/unemployment registration status
  • Maintain records of Paychex taxpay status for each state


Contract Assistant Responsibilities'

  • Maintain organized electronic binders by creating, organizing, and archiving as needed.
  • Participate in contract kickoff and contract closeout process.
  • Assist in the preparation, transmission, and monitoring of correspondence as it relates to renewals and extent.
  • Track and manage contract budgets.
  • Build positive relationships with clients, subcontractors, and internal stakeholders related to renewals and extensions.
  • Escalate and recommend contract modifications as needed to Account Executives.


Education, Knowledge and Skills Requirements

  • AA Degree in Finance, Accounting or Business Administration is preferred
  • At minimum 2 years' work experience in Accounts Receivable, Accounts Payable and Payroll.
  • Solid understanding of basic accounting principles, fair credit practices and collections regulations
  • Hands-on experience in operating QuickBooks
  • Basic to Advanced Excel skills
  • Customer service orientation and negotiation skills
  • High degree of accuracy and attention to detail.
