Overview:
Under direct supervision, the Administrative Assistant I provides general administrative support to a department or a group of professionals. This role involves compiling and analyzing basic information for inclusion in reports and presentation materials, preparing charts, graphs, or tables as needed, and managing routine correspondence.
Key Responsibilities:
- Provide general administrative support and perform secretarial tasks.
- Compile, analyze, and reconcile reports; prepare and verify weekly, monthly, quarterly, and annual reports (e.g., indexes, budgets, inventories).
- Organize the employer's appointment schedule and maintain business records and files.
- Open and sort incoming mail; prepare replies or direct mail to employers for response.
- Arrange conferences and coordinate travel accommodations.
- Manage purchase orders, bill payments, and expense vouchers.
- Handle confidential materials, personnel records, payroll, and salary data.
- Complete tasks with minimal supervision, exercising independent judgment and employing basic reasoning skills.
- Prepare letters, memos, invoices, manuscripts, and various business documents using designated word processing software.
Qualifications:
- Minimum educational requirement: High school diploma or equivalent.
- Proficiency in designated software packages, including word processing, spreadsheet, database management, and presentation software.
- Typing speed of at least 60 words per minute; speedwriting or shorthand may be required.
- Ability to handle a high volume of detailed work in a fast-paced environment.
- May possess specialized skills in legal, finance, marketing, or other specific work environments.
Skills:
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Ability to exercise independent judgment and make sound decisions.
- Proficient in handling confidential and sensitive information.
