Program Coordinator II

The Area Office Program Coordinator II will work under the direction of the Area Director or designee and be responsible for the Investigation process to include obtaining information to present to the Complaint Resolution Team, facilitating the Complaint Resolution Team meetings, and preparing action plans and resolution letters for the Area Director. The position requires analytical expertise to create systems to track information necessary for the area office team to support individuals. Strong organizational, communication, and interpersonal skills are essential.
Other responsibilities will include the processing of changes in the area of assignment, data management, and project/assignment completion related to the Centers Medicare & Medicaid Services (CMS) waivers, Individual Service Plan (ISP)/Level of Care (LOC)/Plan of Care (POC) compliance, and other waiver-related matters. The position may involve support to the Area Director related to clinical and risk management matters. The position will be responsible for providing support and assistance to the Assistant Area Directors and other area office staff related to the management and completion of assignments, projects, data collection, and other related activities. Depending on the needs of the Area Office, the position will provide technical assistance related to Participant Allocation management (P.A.M.), Meditech enrollments, and the management of the Participant Directed Program portal and other self-directed program activities. The position may provide supervision to individuals of a lower grade. The position is a member of the Area Office Management Team and is involved in management-level planning and activity.

The position will provide support and assistance to the Area Director and other area office staff related to the management and completion of assignments, projects, data collection, and other related activities, as well as support, as needed, with contracting activity and fiscal monitoring. The position may involve support to the Area Director related to clinical and risk management matters. Depending on the needs of the Area Office, the position may provide technical assistance related to Participant Allocation Management (P.A.M.), Meditech enrollments, and the management of the Participant Directed Program portal and other self-directed program activities. The position may provide supervision to individuals of a lower grade. The position is a member of the Area Office Management Team and is involved in management-level planning and activity.
Detailed Statement of Duties and Responsibilities- Coordinates, develops, and monitors databases, tickler systems, and tracking systems in order to promote effective operations and document compliance with established rules, regulations, and standards.
- Makes recommendations for changes in tracking systems, databases, and tickler systems to enhance Area Office’s effective use of human resources and technology.
- Provides technical assistance and advice to Area Office personnel and others concerning assigned programs in order to exchange information, resolve problems, and ensure compliance with established policies, procedures, and standards.
- Reviews and analyzes data to determine progress and effectiveness of internal operations.
- Responds to inquiries from Area Office staff and others to provide information concerning oversight and development of assigned systems.
- Maintains liaison with various private, local, state, and federal agencies and others to exchange information and/or resolve problems.
- Performs related duties such as attending meetings and conferences; maintaining records; and preparing reports.
- Works daily with computers and various programs (Meditech, HCSIS, PAM, PPL, FMIS).
- Develops and implements procedures, systems, and guidelines to accomplish Area Office program objectives and goals.
- Performs other related work as needed.
- Knowledge of the laws, rules, regulations, policies, procedures, specifications, standards, and guidelines governing assigned unit activities.
- Knowledge of the organizational structure and functions of the assigned agency.
- Knowledge of the proper procedures for established agency network and telephone systems.
- Knowledge of the types and uses of agency forms.
- Knowledge of the laws, rules, and regulations governing the state personnel system.
Agency Requirements:
- Must be at least eighteen (18) years of age.
- Must possess current and valid Class D Motor Vehicle Operator's License.
Minimum Entrance Requirements: Applicants must have at least (A) three years of full-time, or equivalent part-time, professional, administrative, or managerial experience in business administration, business management, or public administration involving program management, program administration, program coordination, program planning, or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.
- Substitutions:
- A Bachelor's degree in a relevant field may be substituted for a maximum of two years of the required experience.
- A Graduate degree in a relevant field may be substituted for the required experience.
- A Bachelor's or higher degree in another field may be substituted for a maximum of one year of the required experience.
For all bargaining unit positions (non-management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement.
