Job Description

POSITION OBJECTIVE

The Program Manager will play a pivotal role in advancing the university's mission to provide high-quality educational opportunities for K-12 students and educators while overseeing and managing administrative tasks associated with The Provost Scholars Program and The Office of Pre-Collegiate Programs. The Program Manager will collaborate with various stakeholders, including faculty, staff, students, families, school district educators, youth-serving organizations, and community partners, to ensure the successful implementation and coordination of the Provost Scholars Program. The Program Manager will provide leadership, guidance, and support to promote academic success, social and emotional learning, and well-being of students and educators. This role requires effective communication and working relationships with colleagues across disciplines and academic units both within and outside of Case Western Reserve University.


ESSENTIAL FUNCTIONS

  • Program Development and Implementation: Collaborate with faculty and staff and school district administrators to design, develop, and enhance the Provost Scholars curriculum, programs, and initiatives. Proactively plan and implement the program long-term to include the development of timelines, activities, events (such as the Winter Celebration), and university seminars. Develop and maintain the project plan and conduct monthly reviews of milestones. (25%)
  • Facilitate the Parents¿ College at CWRU. Conduct parent interviews which serve as an integral component of the student application to the Provost Scholars Program. Update and maintain the Parent Handbook, Mentor Handbook, and Tutor Guidelines. Create and Maintain the Scholars¿ Student Handbook. (20%)
  • Assess program effectiveness and student outcomes through tracking, measurement, and reporting outcomes relative to defined metrics data (including attendance, faculty engagements/mentorship, staff engagement/mentorship, parent engagement, CWRU student involvement, etc.). Develop and critique annual performance data and report outcomes to stakeholders. Stay informed about current trends, best practices, and research in K-12 education to inform programmatic decisions. (15%)
  • Community Engagement and Outreach: Cultivate partnerships with K-12 schools, districts, community organizations, and other stakeholders to promote collaboration and resource-sharing. Facilitate stakeholder meetings with school staff and administration to foster engagement, communicate program needs, and mitigate barriers to success. Track and report engagement and participation metrics. Represent the Provost Scholars Program at conferences, workshops, and events related to K-12 education to enhance visibility and networking opportunities. Develop a marketing and communication strategy to promote the Provost Scholars Program and pre-collegiate initiatives to internal and external audiences leveraging social media, flyers, and other collaterals. (15%)
  • Manage the collaboration with the School of Medicine for the Emerging Researchers Program. Track the key metrics including the number of students participating annually and longitudinally, % of students completing/presenting their research projects, and total funds distributed. (10%)
  • Administrative Oversight: Develop and implement policies, procedures, and protocols for the Provost Scholars Program and the Office of Pre-Collegiate Programs in alignment with community relations and university goals and objectives. Manage day-to-day administrative operations, including budgeting, scheduling, and resource allocation. Coordinate with academic departments, admissions, and other relevant offices to streamline processes and ensure seamless integration of programming. (10%)

CONTACTS

Department: Daily contact with the Pre-Collegiate Programs Executive Director and Director and Assistant Director of the Provost Scholars Program. Regular contact with program team. Regular contact with the Operations Manager for budgeting and program planning.

University: Frequent contact with faculty and staff, including those who serve as mentors (and prospective mentors).

External: Frequent contact with the superintendents, principals, and teachers in partner schools. Regular contact with community organizers/advocates. Regular contact with student scholars and families.

Students: Regular contact with undergraduate, graduate, and professional studies students as required for mentoring and tutoring assistance, and for facilitating the assessment and evaluation components of the program.


SUPERVISOR RESPONSIBILITY

Supervision of student worker(s), program volunteers, and other persons as needed.


QUALIFICATIONS

Experience: 3 or more years of experience in K-12 education, educational administration, or related fields, including experience in academic and/or community settings with underserved students, public school administrators, teachers, parents, and stakeholders. Preferred experience working with university faculty and staff.

Education: Bachelor's degree in education, educational administration, higher education, management, or related field.


REQUIRED SKILLS

  • Strong understanding of K-12 curriculum, pedagogy, educational trends, youth developmental theory and cultural norms.
  • Experience in program assessment, program design and evaluation, and report writing. Must be an excellent writer and possess basic computational skills.
  • Excellent organizational, communication, and interpersonal skills.
  • Demonstrated ability in managing teams and projects (including budgets, timelines, and milestones).
  • Ability to work collaboratively with diverse stakeholders and build strong relationships.
  • Commitment to promoting equity, diversity, and inclusion in education.
  • Proven proficiencies in Microsoft Office Suite, the internet, database management systems, and other commonly used software. Knowledge of and experience with CampusGroups, Box, PeopleSoft, SPARTA, RedCap, SPSS and/or SAS software, and social media platforms a plus.
  • Demonstrated history of successful support, education, and advocacy for all students, aligned with the values, mission, and messaging of the university, while adhering to the staff policy on conflict of commitment and interest.
  • Ability to meet consistent attendance.
  • Ability to interact with colleagues, supervisors, and customers face to face.


WORKING CONDITIONS

Office-based environment with regular engagement throughout campus and in the community. Ability to work flexible hours during programming and special events. Some evening and weekend work hours will be required. Ability to travel occasionally as needed. Must have an Ohio Driver's License and take university driver's training.
