Position Overview and Responsibilities:

This position is responsible for providing administrative support to the Fish & Wildlife Health (FWH) and Habitat Subsections within the Ecosystem Assessment & Restoration Section. This support primarily involves processing travel itineraries for staff, processing PCard purchases and paying invoices, and acting as a primary budget tracker for state funding allocations.

Duties include:

  • Responsible for following the provisions and requirements in Section 215.422, Florida Statutes, related to the Department of Financial Services’ rules and FWC’s invoice processing and warrant distribution procedures.
  • Maintains current information of division policies and programs and processes routine matters within established policies.
  • Processes a variety of routine correspondence, investigates subject matter, and prepares replies.
  • Handles all travel transactions, including authorizations and reimbursements, for our Habitat, Corals, and Wildlife Health groups.
  • Reviews records and reports which require action and recommends solutions or courses of action.
  • Performs fiscal, personnel, purchasing, statistical, reporting, and other major office functions.
  • Purchase supplies and pay vendors for services.
  • Assign project codes for purchases in Wildlife Health (WH) spending tracking sheet.
  • Provides input and recommendations for budget.
  • Monitor Wildlife Health (WH) state and grant expenditures to ensure compliance with budget plans and match requirements.
  • Reviews and coordinates implementation of statutes, rules, regulations, policies, and procedures.
  • Assists in conducting daily administrative activities and/or directing special projects or activities.
  • Assists with wildlife health data entry.
  • May participate in public outreach efforts as appropriate.
  • Performs related work as required.

Knowledge, Skills and Abilities:

  • Knowledge in using Microsoft Office Word, Excel, Outlook and Adobe Pro.
  • Knowledge of administrative principles and practices.
  • Knowledge of office procedures and practices.
  • Knowledge of the methods of data collection.
  • Knowledge of the principles and techniques of effective communication.
  • Skill in collecting, evaluating and analyzing data relating to administrative functions such as accounting, personnel, purchasing or report writing.
  • Ability to prepare correspondence and administrative reports.
  • Ability to understand and apply applicable rules, regulations, policies and procedures.
  • Ability to utilize problem-solving techniques.
  • Ability to work independently.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
