Job Summary:

The Office Manager will play a critical role in ensuring the smooth operation of the HR teams within the corporate office, supporting the HR teams, and overseeing a group of administrative assistants. The ideal candidate will be detail-oriented, proactive, and possess exceptional organizational and leadership skills. This role requires handling multiple tasks at one time and handling sensitive information with the utmost confidentiality and professionalism.

Key Responsibilities
  • Supervise a team of administrative assistants, providing guidance, training, and performance evaluations.
  • Manage multiple team budgets within HR and consult with HR leaders monthly, assisting with monthly forecasting and tracking of invoices, chargebacks, and expenses.
  • Support HR filing and document retention processes, including managing the Iron Mountain archiving process and acting as the records retention coordinator.
  • Assist in the development and preparation of presentations and meeting materials for HR-related meetings.
  • Manage HR event shipping logistics and coordination to ensure timely arrival of materials for a successful execution of event and safe return of items.
  • Oversee employee file management and perform regular audits to ensure compliance with company policies and legal requirements.

  • Provide administrative support to the HR teams as needed to support administrative assistants, including managing office supplies, processing mail, and facilitating internal communications.
  • Assist with special projects and contribute to department objectives and initiatives.
  • Manage various HR email accounts and respond to inquiries in a timely and professional manner.
  • Ensure the privacy and security of employee personnel records, handling personal and compensation information with confidentiality.
  • Perform other duties as assigned to support the HR teams and corporate office operations.
Qualifications
  • High School Diploma required. Bachelor's Degree Preferred
  • Proven experience as an Office Manager, Administrative Manager, or similar role.
  • Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.
  • Experience managing departmental budgets
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience in managing a team and providing leadership in a corporate environment.
  • Ability to handle sensitive information with discretion and maintain a high level of confidentiality.
  • Detail-oriented, proactive, and able to work independently as well as part of a team.
