Medical Assistant Site Lead

The Site Lead Medical Assistant is dedicated to fulfilling the Center's mission of providing healthcare to all individuals impartially and compassionately, regardless of financial means. The Site Lead Medical Assistant provides leadership by overseeing all medical assistants, managing back-office schedules, and optimizing workflow efficiency. They collaborate closely with the medical team to deliver exceptional customer service and support. Leading by example, the Site Lead fosters a culture of efficiency and effectiveness in clinical operations.
Responsibilities include developing and mentoring a skilled clinical support team, cultivating leadership among team members to enhance patient care and experience in a collaborative environment. Ensuring compliance with OSHA regulations, safety standards, and HIPAA guidelines is paramount, with corrective actions implemented as needed in coordination with the Associate Director or Operations Director of Medical.
The role actively promotes Whole Person Care and integrates care models across all service lines. Participating in community outreach events underscores the commitment to patient education and advocacy within Community Health Network. Collaborating with the Medical Supervisor, Medical Trainer, and Operations Director. The Site Lead facilitates ongoing team training initiatives and supports the professional growth and performance of team members through feedback, appraisals, and corrective actions.
Duties and Responsibilities:
Pre-Exam Preparation:
Prepare work area and equipment for exams or procedures
Ensure proper intake, medical terminology, and HIPPA compliance
Leadership and Training:
Oversee, assist, and train new and established medical assistants
Coach medical assistants to provide exceptional customer service and care
Train Level II medical assistants on medication refills and oversee medication refill SOC is followed
Develop and mentor medical assistants to improve quality of care
Quality Control:
Oversee/Perform CLIA waived testing and documentation within EHR
Conduct daily site walkthroughs and temperature logs
Review cycle time weekly to ensure < 60 minutes from arrival to discharge
Work quality reports monthly to increase quality compliance numbers at 2 reports per month at 100% completion.
Pass IQIP and TVFC audit with 90% or above
Administrative Tasks:
Perform 5 chart audits per week per medical assistant to ensure quality intake and documentation is complete upload to SharePoint
Work CPL/Quest lab bills and kickbacks provided by patient and/or laboratory
Download data loggers every Monday for TVFC program
Reconcile imaging schedule to ensure referral accuracy in EHR prior to testing
Maintain medical logs for EOC monthly: Emergency Bag, spill kits, oxygen tanks, OB Emergency kit, AED
Complete Vaccine Inventory before the 5th of each month
Compiles list of items needed, and coordinates with Purchasing Specialist once a month to order supplies/equipment needed through Microix before 19th of month. Promptly ensures supplies are received and stored appropriately.
Compile list of floor stock items and send to Pharmacists Amy Acosta by 5th of Month
Order CPL/Quest laboratory supplies
Order FIT Test through MD Anderson Lab Corp
Upload Huddles monthly on sharepoint
Operations Management:
Daily Staffing
Daily productivity oversight with Lead Patient Services Specialists
Daily monitoring of medical assistants' messages within ICE
Oversee monthly Google review with a goal of 20 per month
Function as a relief supervisor
Manager on Duty Rotation for weekends
On Call phone every two weeks either 1st – 15th or 16th through 31st on a rotating basis with Site Leads.
Address any patient issues or concerns
Assist Associate Director with annual performance evaluations.
Assist Associate Director with PIP and/or Disciplinary action
Required Skills/Abilities:
Phlebotomy skill required
Thorough knowledge of medical terminology and abbreviations
Excellent computer skills and ability to type 45+ wpm
High ethical standards

Must be willing to travel between MyCHN health centers. Must be willing to work evening hours and weekends if necessary

Bilingual in Spanish and English
Supervision Responsibilities:
Lead Team Huddle with assigned provider and MA
Preceptor for new hire Medical Assistants
Assist team in answering questions and physically step into patient care is additional support is needed
Assist with investigations and resolving issues related to patient issues and other service-related concerns.
Assist in coordinating staff meetings and lunch ordering
Coordinate competency and on the job training for all MAs level 1-2
