Corporate Administrative Assistant

We are seeking a Corporate Administrative Assistant to join our locally-owned mechanical contractor team Previous proven administrative support experience is required.
Responsibilities:
- Answer and direct phone calls, manage incoming faxes, and perform receptionist responsibilities in a professional and friendly manner.
- Organize, schedule and plan meetings; assist in event planning.
- Develop and/or maintain filing system for tracking purposes and retrieval of records (database creation and maintenance).
- Maintain office supply closet; to include ordering, maintaining and researching best pricing for office supplies.
- Prepare pre-quals for our Estimating Department.
- Facilitate the resources, team members, and documentation needed for key administrative projects; work in close liaison and provide administrative support to leadership team on special projects.
- Oversee meeting logistics and preparation for leadership and management to include researching information for presentations, preparing presentation materials, distribution of such materials, etc.
- Maintain/monitor social media presence; maintain website and intranet postings.
- Scanning, filing, indexing.
- Administer employee recognition program.
Qualifications:
- Proven previous experience in administrative support
- In depth understanding of MS Office Suite
- Ability to organize daily workload by priorities
- Ability to work independently
- Ability to meet deadlines in a fast-paced quickly changing environment
- Display a high level of professionalism (excellent written and verbal communication skills); ability to maintain confidentiality, deal with people tactfully and help establish strong internal and external relationships with positive communication skills.
- Must possess outstanding organizational skills, time management skills and attention to detail to include anticipating management, meeting or even needs
- Must be resourceful and well-versed in proactive decision making skills
