Job Overview: As a Documentation Specialist / Port Coordinator, you will be instrumental in managing AES (SED) documentation related to our cargo shipping operations while coordinating port activities to ensure efficient and compliant logistics.

Key Responsibilities include, but not limited to:

Documentation Specialist Duties:

· Preparation of AES (SED) documentation.

  • Prepare, review, and manage documentation related to cargo shipments, including bills of lading, customs forms, and shipping contracts.
  • Ensure all documents are accurate, complete, and comply with international shipping regulations and company policies.
  • Maintain and update electronic and physical records in accordance with regulatory requirements and best practices.
  • Coordinate with internal departments, shipping agents, and clients to gather necessary information and resolve documentation issues.
  • Oversee the archiving of documents to ensure easy access and compliance with retention policies.

Port Coordinator Duties:

  • Coordinate the scheduling and logistics of cargo arrivals, departures, and loading/unloading operations at the port.
  • Liaise with port authorities, customs officials, and shipping agents to ensure compliance with all relevant regulations and safety standards.
  • Monitor and manage port activities to address and resolve any issues, including delays or operational disruptions.
  • Facilitate smooth communication between the port, shipping lines, and our internal teams to ensure efficient cargo handling and timely delivery.
  • Prepare and maintain reports on port operations, cargo status, and any incidents or discrepancies.

Qualifications:

· Import/Export clerical experience (required).

· Preparation/basic knowledge of AES (SED) documentation (REQUIRED).

  • Proficiency in document management systems and office software (e.g., MS Office).
  • Strong knowledge of international shipping regulations, customs procedures, and port operations.
  • Excellent organizational skills with a keen attention to detail.
  • Strong communication and interpersonal skills to effectively coordinate with various stakeholders.
  • Ability to work in a fast-paced environment and manage multiple tasks simultaneously.
