Job DescriptionJob Description

HR Administration/Compliance:

·         Maintain all personnel records, both hard copy and electronic files.

·         Maintain the Company Organizational Chart, employee lists, data spreadsheets, and staffing models.

·         Prepare templates: including memos, reports, confidential documents, hire letters, job descriptions, policies, checklists, etc.

·         On a biannual basis, facilitate an audit of all Personnel files, files correspondence, and other records.

·         Ensure Human Resources policies are current, adhered to, and communicated and the organization is in compliance with state and federal labor laws.

·         Serve as a contact and resource for employees, answering questions regarding policies and procedures and assisting them in resolving personnel-related problems.

·         Maintain the HR site on the company intranet, keeping files and notices updated.

 

Recruiting:

·         Screen all applicants to determine qualifications to staffing requirements. Maintain momentum and push urgency in hiring managers to ensure the needs of the organization are met.

·         Assess internal workforce, candidate referrals, and recruitment agencies’ pools of talent to determine the availability of qualified applicants.

·         Identify internal and external recruitment methods and implement them within the context of the organization’s policies.

·         Ensure compliance around all selection procedures, including interviewing process, reference, and background checking.

·         Support with preparing employment offers.

·         Perform or administer post-offer employment activities (for example, employment agreements, completion of background checks, and other required compliance documents).

·         Schedule and participate in the orientation process, including review of policy, payroll, and benefits information for new hires and preparing all On-Boarding scheduling.

Payroll:

·         Review and prepare employee life cycle payroll changes prior to sharing the payroll file for processing.

·         Maintain employee confidence and protect payroll operations through accuracy and confidentiality.

·         Provide the Finance Department quarterly federal and state payroll tax submission.

·         Complete Government reports such as Census, Labor Bureau, etc.

·         Process necessary paperwork for retirees or employees seeking pension payout, deposit or tax changes.

 

Benefit Administration:

·         Act as an ambassador of benefits program by communicating benefit plans and policies to the workforce, ensuring quarterly benefit updates, newsletters, and “on site” support is completed regularly and consistently.

·  Enroll all new employees in all benefit programs not currently uploaded to the ADP platform.

·  Assist with annual open enrollment

·  Govern all LOA (Leave of Absence,) TDI (Temporary Disability Insurance, ) and TCI (Temporary Caregiver Insurance) submissions and guide employees through the process. Communicate directly with managers regarding expectation setting and next steps. Administers LOA, TDI, and TCI cost breakdowns and communicates health care contributions and payment schedules. Responsible for the collection and reconciliation of payments.

·  On a bi-annual basis, audits all Human Resource files, correspondence, and other documentation to ensure documents are within compliance regulations (I-9 updates, Performance Reviews, etc.)

·  Distribute appropriate notifications and plan descriptions to employees for benefits and 401(k) compliance.

 

Employee Relations:

·  Implement the organizational exit process, including exit interviews and the unemployment insurance claim responses

·  Serve on the Employee Activities Committee to contribute to all positive employee relations activities, holiday events, benefits fairs, company outings, etc.
