We are seeking a dynamic and experienced Practice Manager/Practice Administrator to oversee the day-to-day business operations of a fast-paced Medical Aesthetics and Wellness Practice Located in Wheeling, WV. This key leadership role will ensure the smooth functioning of the practice across four critical management pillars: Financial, Operations, Marketing, and Human Resources. The ideal candidate will have a strong background in healthcare administration, exceptional leadership abilities, and a passion for operational excellence in a medical aesthetics or wellness environment.

Key Responsibilities:

1. Financial Management

  • Assist in the development and management annual budgets, financial forecasts, and financial performance metrics.

  • Oversee billing, collections, and revenue cycle management to maximize profitability.

  • Monitor financial reports, including P&L, cash flow, and other key performance indicators (KPIs) to ensure the practice meets its financial goals.

  • Work with external accountants or auditors to ensure compliance with financial regulations.

  • Identify opportunities for cost reduction and process improvement to enhance overall profitability.

  • Manage vendor relationships and negotiate contracts for medical supplies, equipment, and services.

2. Operations Management

  • Oversee daily clinic operations, ensuring efficiency and high-quality patient care.

  • Implement and maintain protocols for patient scheduling, check-in, and treatment to ensure optimal flow and minimal patient wait times.

  • Ensure compliance with healthcare regulations, including HIPAA and OSHA standards.

  • Manage the procurement and maintenance of clinical supplies and equipment.

  • Lead efforts to streamline operational processes, reducing waste and improving clinic efficiency.

  • Monitor patient satisfaction and implement strategies for continuous improvement.

3. Marketing Management

  • Collaborate with the marketing team to develop and execute marketing strategies that drive patient acquisition, retention, and revenue growth.

  • Oversee digital marketing efforts, including social media, email marketing, SEO, and online advertising.

  • Track and analyze marketing campaign performance, making data-driven decisions to improve ROI.

  • Build and maintain relationships with community partners, local businesses, and industry influencers to promote the practice.

  • Implement patient referral programs, loyalty initiatives, and special promotions to drive engagement and patient loyalty.

4. Human Resources Management

  • Lead the recruitment, hiring, training, and onboarding of clinical and administrative staff.

  • Manage employee performance, including setting goals, conducting evaluations, and developing performance improvement plans.

  • Oversee payroll, benefits administration, and employee relations.

  • Foster a positive and collaborative workplace culture that promotes teamwork, professional growth, and job satisfaction.

  • Ensure compliance with employment laws and regulations, including EEO, FLSA, and labor standards.

  • Develop and implement staff training programs to enhance skills and keep the team updated on industry trends.

Qualifications:

  • Bachelor’s degree in Healthcare Administration, Business, or a related field (Master’s degree preferred).

  • 5+ years of experience in healthcare administration, with at least 3 years in a leadership role within a medical aesthetics, wellness, or related healthcare setting.

  • Strong financial acumen and experience managing budgets and financial performance.

  • Proven track record of driving operational improvements and increasing practice profitability.

  • Experience growing, leading, and developing high-performing teams in a fast-paced clinical environment.

  • Excellent communication, organizational, and leadership skills.

  • Proficient in practice management software and general office technologies.

  • Ability to manage multiple priorities, meet deadlines, and solve problems effectively.
