Job Summary:
The Development and Construction Project Coordinator provides essential administrative and
project management support to the Project Executive and President of Construction. The role
focuses on consultant procurement, project planning, documentation management, budgeting,
and cost analysis. This position ensures the efficient flow of project documentation, facilitates
consultant and subcontractor coordination, tracks financials, and ensures compliance with
project design requirements.

Key Responsibilities:
1. Consultant Procurement & Documentation:

· Assist with consultant buyout processes, preparing Professional Services Agreements
(PSAs) for all consultants.
· Track and maintain consultant lists for all projects.
· Prepare and manage project-specific consultant agreements and ensure they align with
project needs.
· Ensure proper documentation for consultant contracts, change orders, and
communications.

2. Proposal Review & Analysis:
· Review and evaluate consultant proposals, preparing bid analyses (bid tabs) to compare
pricing, terms, and scope.
· Assist in the preparation and review of responses to Requests for Proposals (RFPs).

3. Project Planning:
· Develop detailed finish schedules for all construction projects, outlining timelines for
each project phase.
· Coordinate with project teams to ensure schedule milestones are met and adjust plans as
necessary.
· Manage material procurement for direct-purchase building materials and fixtures from
third-party vendors, ensuring timely delivery and cost efficiency.
4. Budgeting & Cost Analysis:
· Conduct quantity take-offs to assist in budgeting and estimating project costs.
· Maintain historical data for hard and soft cost budgeting, providing insights for future
project forecasting.
· Assist with the preparation of budget reports and ensure costs remain within budget
parameters.

5. Consultant & Subcontractor Coordination:
· Update and manage construction exhibits for subcontractor agreements.
· Ensure subcontractors are meeting deadlines and contractual requirements.
· Facilitate communication and resolve issues between consultants, subcontractors, and
project management teams.

6. Document Control:
· Manage and organize all project-related design documentation, ensuring that files are upto-
date, accurate, and accessible.
· Maintain control over document revisions, ensuring that all stakeholders have access to
the correct version of documents.

7. Financial Tracking & Reporting:
· Verify consultant invoices against project progress, schedules of value (SOVs), cost
codes, and contract numbers to ensure accuracy.
· Handle the management of credit card receipts and expense tracking.
· Prepare monthly budget reports, cash flow forecasts, and track project financials against
set targets.

8. Project Design Compliance:
· Review and update the Basis of Design (BOD) for various project levels (High-End
Luxury, Market Rate, Market Rate Workforce Housing, Affordable Housing).
· Cross-check design documents and project outputs to ensure compliance with established
BOD requirements.
· Support project managers and consultants in addressing any non-compliance issues.

9. Additional Construction Support:
· Update project templates and documentation tools as needed.
· Ensure that all CPR First Aid certifications and OSHA/safety requirements are up-to-date
and managed throughout the project.
· Support the project team with other administrative or operational tasks as needed to
ensure projects remain on track.
