Personal Assistant

Looking for a self-motivated, organized, and detail-oriented professional with experience working for high-profile individuals/families to serve as a Personal Assistant. We are seeking an Assistant who not only excels in traditional tasks but also possesses the ability to anticipate and address unspoken needs and responsibilities. The ideal candidate would consistently take initiative on projects and have a strong ability to multitask. Prioritizing tasks and having an eye for small details is critical. The Assistant would be working in a unique environment and would be comfortable with active listening and execution of tasks, especially while the Principal is on the phone. The Assistant will be working with highly confidential material, and being discrete is a must. The ideal candidate should be prepared to offer 24/7 support and be ready for domestic and international travel as needed.
Responsibilities
Daily Planning: Collaborate with the individual/family to effectively plan daily schedules, ensuring a balance between work, personal life, and leisure activities.
Personal Care: Assist with personal care needs as required, which may include scheduling and accompanying to medical appointments, managing prescriptions, and ensuring overall well-being.
Travel Planning: Plan and organize travel arrangements for both business and leisure, including booking accommodations, transportation, and creating travel itineraries. Prepare the destination or home for the principal ahead of arrival or return.
Household Management: Oversee and manage household tasks, such as coordinating with domestic staff, overseeing construction, design, maintenance, and ensuring a well- functioning home environment.
Family Support: Manage the scheduling and coordination of appointments, activities, school pickups or similar responsibilities, ensuring their daily routines run smoothly and efficiently.
Social Engagements: Coordinate social engagements, including but not limited to, event planning, vendor communication, guest invitations, and managing RSVPs.
Personal Shopping: Handle personal shopping requests, including groceries, clothing, and special items, ensuring preferences and needs are consistently met.
Administrative Support: Provide administrative assistance, including managing personal emails, organizing documents, and maintaining records.
Meal Planning: Collaborate on meal planning, dietary restrictions, and coordinating meal deliveries or personal chef services as needed.
Financial Management: Assist with financial tasks, such as budgeting, bill payment, and expense tracking, while ensuring financial privacy and security.
Entertainment and Leisure: Arrange entertainment and leisure activities, such as booking tickets for shows, concerts, or reservations at restaurants.
Health & Fitness: Support health and fitness goals, including scheduling workouts, organizing fitness classes, and promoting a healthy lifestyle.
Gift Selection: Carefully select gifts that align with the recipient's preferences, occasion, and company's brand image. This may involve research and staying updated on the latest trends in gifting.
Record Keeping: Keep meticulous records of things such as preferences, accounts, and credentials, for future reference and analysis.
Confidentiality: Maintain the utmost discretion and confidentiality in handling personal matters, sensitive information, and communications.
Personal Assistance: Provide any necessary personal assistance that enhances the individual's quality of life and helps them achieve their personal goals.
Additional Duties: Carry out additional duties as needed.
Special Projects: Assist with special projects as needed.
Required Skills & Qualifications
Prior experience as a Personal Assistant, Household/Private Estate Manager, or in a similar role.
Tech savvy.
Proactive problem solver and solution-oriented.
High emotional intelligence skills.
Excellent interpersonal skills and professional written & verbal communication.
Extraordinary attention to detail and highly organized.
Discretion and a high level of professionalism.
Flexibility and adaptability to changing needs and schedules.
Empathetic and caring nature, with a genuine interest in improving the individual's life.
Professional image and conduct; ability to maintain a professional and presentable appearance at all times when representing the employer, both in attire and demeanor.
