Reports To: Assistant Controller and Controller

Position Summary:
The Accounts Payable/Accounts Receivable Clerk is responsible for the accurate and timely execution of accounts payable and receivable processes. Key duties include invoice processing, coding transactions to appropriate GL accounts and job numbers, weekly check runs, and maintaining vendor relationships. This role requires strong organizational skills, attention to detail, and the ability to support various office functions. Sage software experience a Must.

Essential Duties and Responsibilities:
• Code and manage invoices for payment in the accounting software system.
• Electronically route invoices to appropriate department heads for approval.
• Review invoices for accuracy, including ensuring compliance with sales and use tax requirements.
• Maintain vendor relationships, researching and resolving invoice or payment discrepancies promptly.
• Ensure all invoices are accurately coded to the correct GL account and job number.
• Process weekly check runs, including printing and distributing checks.
• Maintain complete and organized files and documentation, including W-9 forms and credit card payment records.
• Manage credit card payment processing and reconciliation.
• Perform material management, purchasing, and tracking duties.
• Support project coordinators, human resources, and other office staff as needed.
• Assist with payroll data entry and ensure accuracy in reporting.
• Perform invoicing for both accounts payable (A/P) and accounts receivable (A/R).
• Conduct various website research projects as assigned.
• Work closely with team members to ensure accurate data entry related to construction projects.
• Maintain a high level of discretion and confidentiality in handling company information.
• Answer phones and provide general office support.
• Support and abide by company policies, procedures, and core values.
• Crosstrain in other accounting and administrative duties, as required.
• Perform additional duties and responsibilities based on company needs.
Required Skills and Qualifications:
• Minimum of 2+ years of experience in a similar role preferred.
• Proficiency in Microsoft Excel, Word, and Adobe.
• Experience with Sage Software is required.
• Strong knowledge of MS Office and PowerPoint.
• Familiarity with construction terminology and experience working with contractors preferred.
• Excellent organizational, communication, and time-management skills.
• High attention to detail and ability to meet deadlines.
• Ability to handle multiple tasks efficiently and prioritize workload effectively.
• Strong interpersonal skills to interact with vendors, customers, and internal team members.
