Administrative Coordinator

Robert Half is looking for an Administrative Coordinator for a client in downtown Clayton. This person needs to be sitting at the front desk greeting customers, answering phones, and helping with events. Also, the Administrative Coordinator needs to maintain the kitchen, empty the dishwasher, make coffee and put out snacks. You will be able to put together team building events for employees, coordinate their social events and charitable events. Other responsibilities include calendar management for guests coming into the office, notes for birthdays and celebrations. In charge of pull morning reports, distributing mail to staff, scan mail and put them in proper folders. Ordering lunch for office or various meetings. Responsibilities:
• Manage receptionist duties such as answering multi-line phone system with detail oriented etiquette.
• Deliver exceptional customer service in all interactions, whether on the phone or when welcoming visitors.
• Contribute to various department projects, enhancing overall team efficiency.
• Maintain records accurately and process applications promptly.
• Monitor customer accounts regularly and take necessary actions.
• Order office supplies online, ensuring the seamless operation of daily tasks.
• Assist in keeping the office environment, including kitchen, clean and organized.
• Use Microsoft Excel, Microsoft Outlook, Microsoft Word, and Microsoft PowerPoint at an intermediate level for daily tasks.
• Work together with other departments within the small office environment.
• Manage switchboard operations for 1-10 lines efficiently.
• Minimum of 5 years experience in an administrative role• Proficiency in Microsoft Excel, Microsoft Outlook, Microsoft Word, and Microsoft PowerPoint
• Experience with receptionist duties including answering a multi-line phone system
• Ability to maintain a detail oriented phone etiquette
• Hands-on experience with ordering office supplies and managing department projects
• Familiarity with switchboard operations, specifically for phones with 1 to 10 lines
• Proven track record of providing exceptional administrative assistance
