BBSI has teamed up with a reputable Restoration and Construction contractor that is expanding its operations. We are currently seeking a dynamic Project Coordinator to join our exceptional team

Job Summary
The Project Coordinator handles tasks related to customer inquiries, project monitoring, tracking, coordination, estimate creation, and project audits. This role also includes general office duties such as correspondence, accounting support filing, and report generation.

Responsibilities:

Contract Management:

  • Preparing, reviewing, and executing new contracts.
  • Experience with change orders and processing contract amendments.

Construction-Specific Knowledge:

  • Familiarity with mechanics’ liens: filing and releasing mechanics’ liens.
  • Understanding of payment schedules, retainers, and collections processes.
  • Pulling and managing construction city permits and schedule inspections..
  • Support project managers with scope, estimates, and documentation.
  • Order materials, update budgets, and project timelines.

Vendor/Subcontractor Management:

  • Onboarding new subcontractors, including executing agreements and collecting essential documents like certificates of insurance, W9s, and licenses.

Financial Competence:

  • Experience handling payables and collections, with QuickBooks knowledge as a plus.

Adaptability and Efficiency:

  • Proven ability to work effectively in a fast-paced, high-pressure environment.
  • Strong organizational skills with the ability to prioritize and meet deadlines.
  • Schedule warranty activities and initial customer visits.
  • Enter and maintain accurate project information in the operating system.
  • Experience in high-volume data entry and paperwork processing.

Customer Service Excellence:

  • Superb communication skills, both written and verbal, to handle heavy email and phone interactions.
  • Maintain communication with customers, clients, and subcontractors.
  • Ability to manage high-pressure situations while maintaining professionalism and responsiveness.
  • Assist with customer service and manage the customer experience.
  • Monitor client requirements and ensure compliance.

Requirements:

  • A minimum of 3 years of office administration experience in the Construction or restoration industry required
  • Excellent verbal and written communication skills
  • Good math skills
  • Computer savvy
  • Superior Customer Service skills
  • Bilingual Spanish required
  • High school diploma/GED
  • Associate or bachelor’s degree preferred
