LHH Recruitment Solutions is partnering with a Healthcare company to find a dedicated and experienced Executive Assistant to support their President/CEO, Vice President, and Executive Team members. In this pivotal role, you will provide high-level administrative support and ensure the smooth operation of executive functions. Hours: Monday-Friday, 8:30 AM - 5:30 PM. Flexibility may be required based on executive needs and special events.
Schedule: Hybrid - onsite 3x per week
Pay Details: $27-$31 per hour
Location: Hillsboro, OR
 
Responsibilities:
  • Office Management: Screen office visitors, telephone calls, and correspondence for assigned leaders. Exercise discretion in handling communications with industry executives, customers, healthcare professionals, and other stakeholders.
  • Correspondence and Documentation: Write and manage business correspondence including letters, memos, invoices, and reports. Prepare routine correspondence and recurring reports for management.
  • Calendar Management: Maintain and proactively manage appointment calendars for assigned leaders, advising on upcoming events and meetings.
  • Meeting Support: Compile and prepare presentations, agendas, meeting minutes, and other documentation. Ensure timely preparation and review of materials.
  • File and Record Keeping: Establish and maintain confidential files and records including corporate documents, financial records, and meeting minutes.
  • Project Management: Work independently or with a team on special projects, manage project files, and prepare summary reports on project status.
  • Budget Tracking: Monitor and report on budgets, process vendor invoices, and ensure accurate coding.
  • Event Coordination: Organize and facilitate executive meetings both on-site and off-site. Travel as needed to support off-site business events.
  • Collaboration: Network with other company assistants to enhance task efficiency and ensure coverage for key activities.
  • Notary Services: May serve as a notary public for the company.
 
Qualifications:
  1. High school diploma required; minimum of 4-6 years of experience in administrative support for executive management. College degree or certification in a business-related field preferred.
  2. Exemplary interpersonal, written, and verbal communication skills with a demonstrated ability to handle confidential situations with tact and diplomacy.
  3. Outstanding organizational, prioritization, and problem-solving skills.
  4. Strong attention to detail and proven ability to multitask effectively.
  5. Proficiency in MS Office applications including Word, Excel, PowerPoint, Publisher, and Outlook.
  6. Ability to work towards deadlines under pressure and adapt to shifting priorities.
  7. Excellent public relations skills with internal and external customers.
  8. Professional demeanor and ability to project a positive image at all times.
 
Working Conditions: This position is primarily office-based in Hillsboro, OR. The role requires maintaining high levels of confidentiality and discretion.
 

Pay Details: $27.00 to $31.00 per hour
