Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team in Charlotte, NC. This role is crucial in supporting daily operations, ensuring the smooth functioning of the office, and providing administrative support to various departments. The ideal candidate is a proactive problem-solver with excellent communication skills and a strong ability to multitask.
Key Responsibilities:
General Office Management: Maintain the organization and cleanliness of the office, order supplies, and coordinate with vendors as needed.
Scheduling and Calendar Management: Coordinate meetings, appointments, and travel arrangements for team members.
Communication: Handle phone calls, emails, and other correspondence professionally and promptly.
Documentation: Prepare, edit, and maintain reports, presentations, and documents. Ensure data accuracy and proper filing of records.
Support to Departments: Provide administrative assistance to various departments as needed, including data entry, creating spreadsheets, and managing databases.
Event Coordination: Assist in planning and executing company events, meetings, and team activities.
Customer Interaction: Act as a point of contact for clients and visitors, ensuring they are greeted warmly and directed appropriately.
Qualifications:
Proven experience as an Administrative Assistant or in a similar role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with other office software.
Strong organizational and time-management skills with attention to detail.
Excellent written and verbal communication abilities.
Ability to handle confidential information with discretion.
High school diploma or equivalent; additional qualifications as an administrative assistant or secretary are a plus.
Preferred Skills:
Experience in managing multiple tasks in a fast-paced environment.
Familiarity with office equipment like printers, scanners, and fax machines.
Previous experience in event planning or project coordination is a plus.
