Job Title: Accounts Payable/Accounts Receivable Clerk
Reports To: Assistant Controller and Controller

Position Summary:
We are seeking a detail-oriented and organized Accounts Payable/Accounts Receivable Clerk to join our team. This vital role is responsible for ensuring the accurate and timely execution of accounts payable and receivable processes. The ideal candidate must have previous experience working with a general contracting company, specifically with AIA Billing and Lien Waivers. Familiarity with Sage Software is highly preferred, although experience with Great Plains or Timberline is also acceptable.

Key Responsibilities:

Accounts Payable:

Process and code invoices for payment in the accounting software system.
Ensure invoices are accurately coded to the correct GL account and job number.
Electronically route invoices to department heads for approval.
Verify invoice accuracy and compliance with sales and use tax requirements.
Process weekly check runs, including printing and distributing checks.
Maintain complete and organized files, including W-9s and credit card records.
Accounts Receivable:

Perform invoicing and manage A/R processes.
Track and process payments while ensuring timely follow-ups.
Specialized Tasks:

Manage AIA Billing processes and ensure compliance with industry standards.
Handle Lien Waivers and related documentation.
Reconcile credit card payments and manage processing.
General Office Support:

Assist with payroll data entry and reporting accuracy.
Perform material management, purchasing, and tracking duties.
Support project coordinators, human resources, and other office staff as needed.
Conduct website research projects and provide general administrative support.
Vendor and Customer Relations:

Maintain strong vendor relationships by promptly resolving invoice or payment discrepancies.
Communicate effectively with internal teams, vendors, and customers.

Required Skills and Qualifications:

Experience: Minimum 2+ years in a similar role, with required experience working for a general contracting company.
Software Proficiency: Sage Software experience is a strong plus. Experience with Great Plains or Timberline is acceptable.
Knowledge: Familiarity with AIA Billing, Lien Waivers, and construction terminology is essential.

Technical Skills: Proficiency in Microsoft Excel, Word, Adobe, and PowerPoint.
Interpersonal Skills: Excellent communication, organizational, and time-management abilities.

Other: High attention to detail, ability to prioritize tasks, and meet deadlines in a fast-paced environment.
