• Supervise and provide guidance to the reception team and office assistants
• Manage the reception area, ensuring visitors and callers feel welcomed and assisted promptly
• Oversee the security measures in the building, including ensuring visitors sign in and follow security procedures
• Support students in need of assistance, reinforcing school rules and assisting teachers with student monitoring as required
• Foster a welcoming environment for parents and families visiting our building
• Provide translation services for Spanish-speaking families, translating office notices and assisting visitors as needed
• Manage daily attendance records, ensuring teachers submit attendance and updating records for tardy arrivals or absences
• Maintain accurate attendance data and submit weekly attendance reports to teachers for review and signature.• Proficiency in the Spanish language, both written and spoken, is a must.
• Demonstrable experience in Spanish translation is required.
• Proven track record in administrative assistance, preferably within the Non-Profit sector.
• Ability to manage office operations and procedures efficiently.
• Exceptional interpersonal and communication skills to interact effectively with all levels of the organization.
• Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Strong organizational skills with the ability to multitask and prioritize tasks.
• Experience in managing office budgets and expenses.
• Proven ability to work independently and as part of a team.
• Excellent problem-solving skills with a proactive approach to resolving issues.
• High level of discretion for both business and personal affairs.
• Experience in coordinating and organizing meetings and events.
• Ability to handle confidential information with utmost discretion.
• High school diploma or equivalent; higher education or certifications in Business Administration or related field would be a plus.
