Job Summary

Job Summary: Bring Support to the sales team in all facets of sales/marketing/service process, from solicitation of sales through service of events while in-house, after-event follow-up. by typing, copying, distributing and filing all related correspondences as well as answering and responding appropriately to incoming telephone calls.

Essential functions:

  • Enters data to produce contracts, correspondence, forms, memorandum, and other documents
  • Answers telephone and responds to caller inquiries speaking in a clear and pleasant manner
  • Exercises decision making skills to direct caller's request. Accurately records messages for staff and distributes the written messages to the staff’s member’s office in a timely manner
  • Organizes files and retrieves documents in appropriate binders in order to maintain essential records used in the department operation
  • Assist in servicing groups at the direction of the Director of Sales including sending sales kits and meeting planner packets, generating Catering contracts, running weekly group resume reports and assisting in completing and distributing banquet event orders
  • Other essential duties include sending thank you letters to clients, showing clients around the museum and assisting with other items as deemed necessary by the Sales Managers
  • Assist in creating Banquet Event Orders as needed
  • Review and revise Catering guarantee sheets, change sheets and weekly event sheets
  • Interact with clients in a professional manner to determine needs and direct staff accordingly
  • Assist in collecting event deposits
  • Accurately complete procedural forms as needed on a timely basis (banquet event orders, catering change notices, Amenity orders, VIP notices, purchase orders, group resumes, credit applications, lost business reports)
  • Accurately enter information in Reserve Catering system
  • Any further support deemed necessary by the Sales Managers
  • Ensure all files are maintained in accordance with department guideline
