Receptionist Admin Assistant

Job Summary:
We are seeking a detail-oriented and proactive Receptionist/Admin Assistant to support our team with a variety of administrative and office duties. The ideal candidate will be responsible for providing a welcoming environment for visitors, managing communication channels, and supporting office operations. This is a dynamic role requiring strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently.
Key Responsibilities:
Reception & Communication:
Answer, screen, and transfer inbound phone calls in a professional manner.
Greet and direct visitors, clients, and guests to the appropriate departments.
Monitor visitor access and maintain security awareness within the office.
Receive, sort, and distribute mail and deliveries.
Administrative Support:
Perform general office duties, including photocopying, faxing, scanning, and mailing documents.
Enter Accounts Payable information into the system accurately.
Prepare and process deposits for checks.
Schedule and coordinate meetings, appointments, and office events such as birthday parties or team gatherings.
Maintain and update office supply inventories, including kitchen supplies.
Scheduling & Record Keeping:
Maintain and manage the appointment diary for staff and executives.
Assist in binding catalogs and organizing office materials.
Send out-of-office notifications when required.
General Assistance:
Provide administrative support to managers as needed.
Assist other teams or departments during busy periods or when short-staffed.
Education & Experience:
High school diploma or equivalent; additional administrative or office management certifications preferred.
Proven experience in a receptionist or administrative assistant role is an asset.
Strong knowledge of office management systems and procedures.
Skills & Competencies:
Technical Skills: Proficient in using office software (e.g., Microsoft Office Suite) and basic office equipment (photocopiers, fax machines, etc.).
Clerical Skills: Familiar with clerical and administrative procedures such as filing, record-keeping, and document handling.
Communication Skills: Excellent verbal and written communication skills to interact with staff, visitors, and clients effectively.
Organizational Skills: Strong time management and organizational skills to handle multiple tasks simultaneously.
Attention to Detail: Meticulous attention to detail in data entry, scheduling, and office operations.
Problem-Solving: Ability to troubleshoot and address challenges in a timely and efficient manner.
Additional Information:
Ability to maintain confidentiality and handle sensitive information with discretion.
A friendly, customer-oriented attitude and professional appearance are essential.
Ability to work both independently and as part of a team.
