Job DescriptionJob Description

We are in search of a Payroll Coordinator (Union & Certified Payroll) to join our team in the Construction/Contractor industry, located in both Menlo Park, CA and San Jose, CA. As part of the team, you will be involved in various Payroll, HR, and Accounting tasks, working closely with the Controller and Union Payroll Specialist. This role offers a contract to hire employment opportunity.


Responsibilities

• Support the processing of union payroll, collaborating with project teams and ensuring accurate documentation of field work hours for each union craft employee.

• Conduct internal audits to ensure appropriate timecard approvals and verify employee signatures on all weekly timesheets.

• Coordinate the shipment of payroll checks to jobsites.

• Oversee and process any missed time, paychecks, or time transfers.

• Administer and manage field personnel documentation workflow, from hiring to promotion or rate changes to termination.

• Ensure compliance with company's internal controls by maintaining accurate customer credit records.

• Handle the setup of personnel in JDE, including Union Code assignment, Job Type, and Job Step.

• Administer payroll-related tables such as Service Billing, Project Rate, and Union benefit rates table.

• Ensure timely compliance reporting including but not limited to weekly OCIP/CCIP, Certified Payroll, and Workers Comp reporting.

• Manage the Payroll Email inbox, ensuring prompt response to all emails and requests.

• Oversee the reconciliation of payroll-related GL accounts, resolving any discrepancies and posting any related journals.

• Maintain and update the Corporate Finance calendar for distribution.

• Utilize your proficiency in Microsoft Excel and JD Edwards EnterpriseOne to process and manage data effectively.

• Candidate must have a minimum of 2 years of experience in a similar role within the construction/contractor industry.
• Proficiency in handling weekly payroll is mandatory.
• Familiarity with JD Edwards EnterpriseOne software is required.
• Strong Microsoft Excel skills are essential for data management and analysis.
• Excellent communication skills to interact effectively within all levels of the organization.
• Ability to maintain confidentiality and exercise extreme discretion is crucial.
• High level of attention to detail and accuracy is required.
• Strong organizational skills, and the ability to work under pressure are vital.
• Ability to handle and prioritize multiple tasks and meet all deadlines.
• Knowledge of general accounting principles and regulatory standards is a plus.
• Bachelor's degree in Accounting, Finance or related field is preferred.
