This role will support the daily operations of our team, providing essential administrative assistance to the construction estimators, service department, and office staff. The ideal candidate has experience in handling office communications, managing construction permits, and supporting service departments to ensure smooth and efficient operations.

Key Responsibilities:

  • Administrative Support:
  • Answer, screen, and route incoming phone calls professionally and courteously.
  • Coordinate communications and respond to inquiries from clients, vendors, and team members.
  • Maintain organized records of documents, permits, and client files.
  • Permit Coordination:
  • Assist with obtaining and tracking permits for construction projects, coordinating with local authorities and municipalities as needed.
  • Monitor project timelines to ensure timely submission and receipt of permits.
  • Communicate permit updates to the construction estimators and project teams.
  • Service Department Support:
  • Provide administrative support to the service department, including scheduling appointments and dispatching technicians.
  • Coordinate service requests and manage work orders.
  • Maintain service records and update clients on job progress when required.
  • General Office Support:
  • Support general office operations by managing office supplies, assisting with mail distribution, and performing other clerical duties as assigned.
  • Assist in preparing reports, proposals, and presentations for team meetings and client consultations.


This role is 100% in office and offers great benefits

  • Minimum of 2 years of experience in an administrative or project coordinator role, ideally within construction, fire protection, or a related field.
  • Proficiency in MS Office (Word, Excel, Outlook) and office management software.
  • Strong communication skills with a customer-service orientation.
  • Detail-oriented, organized, and able to multitask effectively in a fast-paced environment.
  • Familiarity with permit applications and municipal processes is a plus.
