Job Overview

Swoon is seeking an Event Coordination Specialist to assist in managing significant corporate events for a prominent client in the Financial Services sector.

  • Contract Duration: 3 months
  • Work Schedule: Part-time, in-office presence required

Event Planning Responsibilities:

This role involves collaborating with the Senior Manager of Internal Communications to ensure the seamless execution of key events, from initial planning through to final execution. The successful candidate will play a vital role in enhancing employee engagement through well-organized events.

Key Responsibilities:

  • Coordinate all facets of large-scale events, including:
    • Engaging with vendors for catering, transportation, setup, decorations, and entertainment
    • Participating in ongoing vendor meetings
    • Tracking tasks and managing specific activities under guidance
    • Overseeing vendor operations on setup days
    • Collaborating with internal teams for graphics and event materials
    • Contributing ideas for decorations and event enhancements
    • Maintaining budgetary constraints
    • Managing attendee registration and RSVP tracking
    • Working with HR to verify nomination criteria and eligibility
    • Assisting with nomination processes
    • Reviewing communications for accuracy

Qualifications:

  • Proven experience in event management
  • Excellent organizational and communication skills
  • Detail-oriented with a proactive approach to problem-solving
  • Able to manage multiple tasks efficiently
  • Proficient in Microsoft Office, particularly Excel
  • Comfortable leading meetings and directing teams
  • Experience working with various vendors
  • Physical ability to navigate event spaces and lift items as needed
