Outpatient Substance Use Coordinator

As a key member of our team, the Outpatient Substance Use Coordinator will perform a variety of clerical duties to support physicians and clinic staff. This role requires strong organizational skills, attention to detail, and excellent communication skills.
Key Responsibilities:
Act as the first point of contact for prospective clients, providing a warm and welcoming experience.
Complete acuity screening and clinical registration, ensuring accurate and timely data entry.
Provide support in arranging meetings, booking rooms, and taking minutes as required.
Track and organize spreadsheets with data on programs and clients, following instructions from the Clinical Supervisor.
Maintain systems, including Microsoft Office and Electronic Medical Records, to track due dates for routine paperwork.
Complete scheduling for initial intake appointments and prescriber appointments, ensuring seamless coordination.
Complete reminder calls for all follow-up appointments, ensuring timely communication.
Complete preliminary intake paperwork with persons served prior to clinical intake appointments, providing a smooth transition.
Complete Medicaid eligibility verification for enrolled clients, ensuring compliance with regulations.
Coordinate external and internal referrals, facilitating collaboration and communication.
Maintain spreadsheets for routine paperwork due dates, ensuring accuracy and timeliness.
Run data reports in EMR on a weekly basis, providing valuable insights for the team.
Collaborate with the Clinical Billing Coordinator to ensure all paperwork requirements are met for CIMOR enrollment.
Complete annual training requirements as outlined by agency requirements and supervisor, ensuring ongoing professional development.
Requirements:
Bachelor's degree preferred or experience in medical office coordination.
Exceptional interpersonal skills, with the ability to communicate clearly and establish effective working relationships.
Proficiency in Microsoft Office, including Word and Excel, with experience in Electronic Medical Records a plus.
Ability to multi-task, prioritize tasks, and attend to details, with a focus on delivering high-quality results.
Experience in social service and/or mental health settings preferred, with a passion for empowering local communities and promoting health equity.
