PhD Union Relations Analyst

We are seeking a highly skilled Business Analyst to join our team at InsideHigherEd. As a PhD Union Relations Analyst, you will serve as the primary interface between various departments, including the Vice Provost for Graduate Education Office, the Office of the University Registrar, HR and Labor Relations, University technology team, the Office of Institutional Research and Analysis, and contracted services.
Key Responsibilities- Develop and maintain a centralized appointment letter system for PhD students.
- Liaise with divisional leaders to ensure timely and accurate appointment letter creation.
- Image appointment letters and save them in the OnBase repository.
- Troubleshoot issues related to appointment letters and data integrity.
- Communicate and train faculty and staff on the appointment letter process.
- Create and generate appointment letter reports.
- Ensure that all PhD students who need an appointment letter have one.
- Decide which supplemental positions require appointment letters.
- Review interdivisional partners' PhD positions to ensure alignment with the Collective Bargaining Agreement.
- Suggest enhancements to the appointment letter process.
- Monitor data entry, analysis, and report generation for adherence to established policies, procedures, and deadlines.
- Oversee access permissions for the appointment letter system.
- Create training documents and how-to guides for use university-wide.
- Work with the University Data Warehouse, HR Shared Services, Office of Institutional Research and Analysis, and Office of University Registrar to compile the official and verified list of PhD students under the Collective Bargaining Agreement.
- Develop and maintain a dashboard for quick data presentation.
- Request reports for the Union every semester to comply with the CBA.
- Troubleshoot system integrations and data discrepancies.
- Work with the Office of University Registrar on FERPA consent maintenance.
- Participate in tasks and projects related to data integration, mining, analysis, and reporting, partnering across different facets of the University.
- Provide information for ad hoc record requests.
- Bachelor's Degree in a related field.
- Three years of related experience.
- Additional education may substitute for required experience, and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.
- Bachelor's Degree in Data Analytics, Information Systems, Finance, Accounting, or a related field.
- Four years of progressively responsible related experience.
- Experience working with cross-functional teams and process improvement.
- Experience working with Student Information Systems and/or SAP.
