Position Overview

Key Responsibilities

  • Manage incoming department calls and ensure they are directed to the appropriate personnel.
  • Deliver exceptional client support and address any outstanding issues with clients and agencies.
  • Organize and handle incoming mail for the department, as well as oversee the processing of outgoing correspondence.
  • Coordinate primary scheduling for the Appliance Management Program (AMP) and provide secondary scheduling assistance for related programs.
  • Assist in preparing appliance work orders, distributing them to vendors, and maintaining tracking reports and work order files.
  • Support marketing and outreach initiatives for all single-family projects.
  • Maintain accurate and compliant client and vendor files in accordance with relevant regulations.
  • Engage with clients to understand and meet their needs effectively.
  • Participate in team meetings and communicate efficiently with clients and staff across various departments.
  • Uphold confidentiality regarding client, employee, and agency information as mandated by federal and state laws.
  • Ensure adherence to program, agency, and funder requirements, along with internal policies and procedures.
  • Perform additional duties as assigned.

Qualifications

  • Education: High school diploma or equivalent required.
  • Experience: 1 to 3 years of relevant experience preferred.
  • Proficient in Microsoft Office and familiar with telephone etiquette; strong verbal and written communication skills are essential.
  • Able to thrive in a high-volume work environment and manage potentially stressful situations with sensitivity.
  • Must possess a valid driver's license and insurance.

Organizational Structure

  • Reports directly to the Administrative Manager of Energy Conservation Services.
  • Indirectly reports to the Division Director of Energy Conservation & Loan Assistance Program.
  • No direct reports associated with this position.

Physical Demands

  • Mobility required for operating office equipment; ability to lift boxes of files as necessary.

Work Environment

This position involves interaction with clients participating in various programs. A successful background check is a prerequisite for employment.
