Job Overview:
In partnership with the Program Director, the Program Coordinator is tasked with overseeing the accreditation, administrative operations, and financial oversight of the Graduate Medical Education program. This role necessitates a thorough understanding of national accreditation standards and internal policies, alongside a significant degree of initiative and independent decision-making. The coordinator continually evaluates and directs a variety of programmatic planning strategies, including both short-term and long-term objectives, recruitment, orientation, accreditation, and designated projects. As an integral member of the residency/fellowship leadership team, the coordinator bears ultimate responsibility for the residents and fellows within the program.
Key Responsibilities:
- Collaborates with leadership to maintain program accreditation
- Oversees accreditation processes, including preparation and execution of site visits
- Acts as the system administrator for the residency/fellow data management system, managing evaluations, duty hours, resident/fellow files, portfolios, call schedules, competency verification, onboarding, rotation schedules, policy updates, and curriculum revisions
- Develops and maintains systems to meet national accreditation standards and Graduate Medical Education requirements
- Manages the residency/fellowship recruitment process, including application review, interview coordination, and candidate selection through relevant organizations
- Administers and audits program budgets, including resident/fellow continuing medical education budgets and financial reconciliations, in conjunction with the Program Director and GME leadership
- Monitors residency and fellowship procedure and case logs
- Serves as proctor for resident/fellow In-training Examinations
- Participates in the Graduate Medical Education Network and relevant specialty organizations
- Collaborates with office and clinic managers on residency and fellowship education and clinical integration
- Facilitates the procurement, updating, assignment, and instruction of technological initiatives for residents and fellows
- Contributes to the development of program policies and objectives; communicates and interprets policies, procedures, and regulations to residents and fellows
- Acts as a liaison among residents/fellows, program leadership, and the GME office
- Independently implements, manages, and evaluates daily operations of the residency/fellowship program, identifying and executing responsibilities, making policy recommendations, and ensuring compliance and follow-up as necessary
