Position Overview

As an Audio Visual Specialist, you will serve as the key support figure within the Audio Visual department, responsible for the daily operational tasks including the setup, functioning, and dismantling of audio, video, projection, and lighting systems. This role requires direct interaction with internal personnel through the processing of requests directed to the AV Department. You will be expected to manage the routine responsibilities of the AV Department during the absence of the AV Manager. Additionally, you may assist with AV-related projects in the warehouse and have the potential to travel for domestic exhibitions.

Key Responsibilities

Equipment Preparation and Packing (40%)
  • Conduct thorough quality checks on all equipment and wiring prior to packing.
  • Label all equipment and wiring to ensure accurate placement at events.
  • Collaborate with the CAD team to develop layouts for event documentation.
  • Assist Production in mounting brackets to panels or stands.
  • Pack equipment securely to guarantee safe transport.
  • Oversee inventory management through the Inventory System.
  • Prepare equipment delivery receipts.
  • Ensure proper asset labeling for all equipment.
  • Confirm that all equipment has the latest firmware, updates, and software.
  • Program LED lighting for events.
  • Manage expense reports in accordance with company policies.
  • Perform other assigned duties as necessary.
Receiving Equipment and Inventory Management (40%)
  • Upon receipt of equipment from events, perform quality checks for any damage.
  • Remove any client-specific products from the equipment.
  • Clean any foreign materials from screens, such as tape or velcro.
  • Verify that all necessary cables and remotes are included.
  • Return equipment to inventory.
  • Process items in the R2 and Syteline systems.
  • Monitor inventory counts, asset labeling, and firmware accuracy.
  • Recommend additional purchases as needed.
  • Perform other assigned duties as necessary.
Event Preparation and On-Site Support (20%)
  • Conduct quality checks on all equipment and wiring before packing.
  • Label equipment and wiring for proper placement at events.
  • Work with the CAD team on layouts for event documentation.
  • Assist Production in mounting brackets to panels or stands.
  • Pack equipment securely for safe transport.
  • Enter items into the Syteline system.
  • Prepare equipment delivery receipts.
  • Oversee all aspects of AV installation at event sites.
  • Collaborate with electricians and event personnel for equipment installation.
  • Partner with clients on-site to provide equipment instructions.
  • Verify the accuracy of services and equipment at the event site.
  • Provide troubleshooting support as needed during events.
  • Secure and shut down equipment at the conclusion of each event.
  • Pack, unpack, and repack equipment to ensure safe delivery.
  • Perform other assigned duties as necessary.
Performance Metrics
  • Avoid repeat incidents of quality issues on-site.
  • Achieve 100% customer satisfaction with AV equipment and support.
  • Ensure timely and accurate reporting of expense reports.
  • Maintain 80% of labor time as billable.
Additional Responsibilities
  • Conduct accurate annual physical inventory.
  • Ensure timely and accurate processing of returned products to facilitate job closure.
  • Maintain accuracy and timeliness in data entry.
