Role Summary

We are seeking a dedicated Project Coordinator to join our Reconstruction team.

Your primary responsibility will be to manage and document all stages of commercial and residential reconstruction projects. This includes coordinating with project managers, subcontractors, adjusters, and construction consultants to ensure adherence to specifications, quality standards, timelines, and budget constraints.

Key Responsibilities:

  • Internal Communication:
    • Collaborate with internal claims managers, estimators, permit expeditors, and construction project managers to facilitate efficient job completion and effective client communication.
    • Provide regular updates to upper management, including the director of construction and project managers.
  • External Communication:
    • Engage with occupants, property owners, adjusters, subcontractors, and other stakeholders throughout the reconstruction process, ensuring high levels of customer satisfaction through daily updates and communications.
    • Offer technical and engineering support to the client's team, including project managers and construction managers.
    • Coordinate with architects and engineers to ensure timely responses to requests for information (RFIs).
  • Time Management and Organization:
    • Maintain and distribute current contract plans, timelines, and specifications.
    • Utilize meetings, calendars, and workflow coordination to meet project deadlines.
    • Organize project files and drawings within company software systems.
  • Documentation:
    • Track the progress of construction, demolition, rehabilitation, and repair projects.
    • Log photographs, daily reports, and notes as necessary.
    • Document meetings and communications with clients, adjusters, and project stakeholders.
    • Review submittals for compliance with plans and specifications.
  • Contract Management:
    • Ensure all subcontractors and temporary labor are engaged under appropriate agreements.
    • Create repair agreements and change orders for client approval.
  • Billing Coordination:
    • Work with the accounting department to progress bill the project according to payment terms.
    • Collaborate with the estimating department to provide supplemental estimates to ensure all work is accounted for in billing.
    • Update the CFO on project completion percentages and financial progress.
  • Permitting:
    • Assist in obtaining necessary permits for projects.
    • Coordinate with external architects and engineers to secure building permits.
  • Your direct report will be to the Senior Reconstruction Project Engineer.
  • This role requires onsite presence in our Encino office five days a week, with occasional visits to job sites as needed.

Qualifications:

  • Self-motivated and proactive.
  • Exceptional written and verbal communication skills.
  • Proficient in Microsoft Office Suite, including Excel and Project.
  • Customer service-oriented with a positive, can-do attitude.
  • Able to navigate ambiguity effectively.
  • Honest and transparent in communication, especially regarding challenges.
  • Willing to assist the team with any task, regardless of size.
  • Prior experience in emergency management, reconstruction, or insurance is advantageous but not mandatory.
  • Must be authorized to work in the United States.

Compensation: $30-$35 per hour
