Job Summary
The University of Miami seeks a highly skilled Program Manager to lead the planning, execution, and delivery of program initiatives. This role ensures that programs align with organizational objectives and supports the daily administration of assigned programs within the department.
Key Responsibilities
- Supports the leader in managing assigned program components and preparing documentation and reports.
- Establishes, maintains, and reports on program effectiveness, ensuring programs align with objectives.
- Assists with managing program budget by monitoring expenditures.
- Stays abreast of market trends and legislation impacting program functions.
- Verifies, organizes, and prepares grants, procurement, and other program-relevant documents.
- Coordinates logistics for program events and activities.
- Partners with other departments to increase program awareness.
- Identifies new needs and emerging issues and develops innovative programs, initiatives, and resources.
- Adheres to University and unit-level policies and procedures and safeguards University assets.
Requirements
- Bachelor's Degree in relevant field.
- Minimum 3 years of relevant experience.
- Knowledge of business and management principles.
- Ability to direct, manage, implement, and evaluate department operations.
- Ability to establish department goals, and objectives that support the strategic plan.
- Ability to maintain effective interpersonal relationships.
Departmental Addendum
The Program Manager will also be responsible for ensuring UM and Office of Faculty Affairs (OFA) visual identity is preserved in all communications, collecting content, compiling, creating, editing, and publishing Faculty Focus the bi-monthly newsletters, maintaining the OFA website, training and supervising other OFA team members on software to update, edit, and publish OFA websites and newsletters, regularly compiling, updating, and maintaining contact lists and OFA listservs, preparing annual programming calendar for the OFA, obtaining requisite approvals from OFA leadership for the annual programming calendar, disseminating calendar to the OFA team, ensuring calendar and all related programming is accurately archived in the OFA's box folder, working with the Vice Provost, Associate Provost, and Directors to manage OFA events from idea phase through successful completion, creating and disseminating event invitations, disseminating relevant marketing materials, tracking RSVPs, handling pre-event logistics including run-of-show and follow-up calls, event-day management, supervising and managing registration, check-in, and online event logistics, ensuring timely reconciliation of event expenditures, ensuring OFA leadership has up to date briefings for all programming events, researching, monitoring, and implementing feedback from surveys completed by program attendees to measure the impact and success of the various programs, benchmarking programs against peer institutions and providing reports to OFA leadership, assisting in developing, implementing, and managing new strategies, software, tools, projects, initiatives, and processes for improvements and efficiencies of event planning and communication dissemination, performing regular business process and workflow analyses for programming events, providing summary report to OFA leadership concerning each event, conducting research and making recommendations on OFA purchases regarding gifts and giveaways, facilitating office activities and communications including updating website, ensuring appropriate reporting and lines of communication are in place between committees, groups, and the OFA, maintaining OFA Standard operating procedures related to assigned tasks, ensuring agenda, papers and presentations are available for meetings and committees, providing support to OFA leadership in the delivery of the unit's strategic plans, assisting OFA leadership with briefing materials, draft reports, communications, presentations, and correspondence, managing the notification process for workflows that include but are not limited to: special reviews, sabbaticals and other leaves, emeritus, secondary appointments, retirement and other terminations, reappointment, honorific appointments, overseeing the notification process for courtesy and affiliate appointments, management and oversight of faculty onboarding, and other duties as assigned.
