Key Responsibilities
  • Coordinate multiple internal projects and tasks for a diverse group of investment banking professionals, ensuring seamless execution and timely delivery.
  • Prepare high-quality client-facing memoranda, proposals, large mailings, seminar textbooks, reports, and other deliverables, requiring strong writing and editing skills.
  • Proofread, edit, and format documents to ensure accuracy and professionalism.
  • Perform project data entry, tracking, and reporting, utilizing strong analytical and organizational skills.
  • Manage and update contact lists, maintaining accurate and up-to-date information.
  • Plan and coordinate onsite and offsite meetings, conference calls, and lunches, ensuring smooth logistics and effective communication.
  • Conduct deal-specific research, providing valuable insights and support to investment banking professionals.
  • Maintain electronic data rooms, including granting access, setting permissions, and uploading documents, ensuring secure and efficient data management.
  • Assist with FINRA compliance efforts, ensuring adherence to regulatory requirements.
  • Maintain contracts, subscriptions, membership, and registration renewals, ensuring timely and accurate processing.
  • Work in conjunction with the accounting group to maintain required documentation for annual audit, ensuring accuracy and compliance.
  • Perform general office administrative duties, including processing expenses and invoices, coordinating staff calendars, scanning documents, faxing, copying, and printing.
  • Perform other duties as assigned, demonstrating flexibility and adaptability.
Requirements
  • Bachelor's or associate degree from an accredited college or university, or an equivalent number of years of work experience.
  • 3+ years of experience in an administrative support role or equivalent position.
  • Strong customer service ethic and dedication to high-quality work product.
  • Ability to thrive with minimal direction and supervision.
  • Ability to maintain confidentiality.
  • Proven organizational and time management skills, and the ability to efficiently manage multiple priorities in a fast-paced work environment.
  • Excellent written and verbal communication, listening, problem-solving, interpersonal, and relationship-building skills.
  • Demonstrated maturity and the ability to perform both individually and as a team player.
  • Excellent proofreading, editing, and formatting skills.
  • Strong proficiency in MS Office software (Word, PowerPoint, Excel).
Preferred Qualifications
  • 2-3 years of financial services background.
  • Ability to work 100% in office.
