We are currently seeking an Administrative Operations Support Specialist to assist our Parts and Quality Operations team. This role will involve executing various tasks and related on-site office administrative and technical responsibilities within a sophisticated engineering environment. The majority of tasks will focus on quality assurance, production oversight, and technical administrative functions. This position requires the preparation and processing of technical documentation in accordance with established procedures; additional responsibilities will be tailored to the specific needs of the Quality Operations department. This is a key position that necessitates on-site presence five days a week.

Your Daily Responsibilities:

  • Draft, review, format, and distribute technical documents, including creating cover sheets, obtaining signatures, ensuring adherence to templates, and formatting documents for internal stakeholders.
  • Utilize basic formulas and formats to develop tables, graphs, figures, and metrics as needed for daily operations.
  • Assist the Quality Manager and Project Managers with secure document control management for various projects and programs.
  • Facilitate internal and external meetings by coordinating site visit requests, greeting and escorting visitors, and providing safety information through brochures or videos.
  • Support the coordination of system access requests, safety evaluations, and other on-site requirements for new hires or personnel as necessary.
  • Help generate reports and disseminate information, results, and basic analyses to relevant personnel.
  • Enter service requests for procurement, training updates, or other needs and manage orders until receipt and distribution to the appropriate group.
  • Provide general administrative assistance to the on-site Operations team, including document scanning and printing.
  • Monitor schedules and follow up with responsible parties to ensure timely document generation.
  • Compile, prepare, and input data into various systems.
  • Maintain a thorough understanding of quality, safety, and security protocols.

Who You Are:

  • High school diploma or equivalent is required.
  • 3-5 years of administrative experience is preferred.
  • An associate's degree in business or a technical field is advantageous.
  • Experience in the nuclear industry is a plus.
  • Proficient in computer applications, including Microsoft Excel, Word, PowerPoint, and Visio.
  • Experience with SAP or ERP systems is essential.
  • Strong oral and written communication skills are necessary.
  • Ability to consistently demonstrate a high level of attention to detail.
